Managing Enterprise and Practice Setup

The System Administrator application provides system administrators with a way to set up, maintain, manage, and secure their NextGen® Enterprise systems. One of the most important aspects of system maintenance and security is the management of user accounts, user groups, and the rights granted to user accounts. The System Administrator application allows you to do the following: Set up Universal Preferences. Set up the use of BLOBs (Binary Large Objects), Biometrics, and the Provider Approval Queue. Manage the enterprise and practice structure. Create and manage group structure. Create and maintain users and user information. A user must belong to a group. Organizing Your Internal Structure

The Directory is structured with enterprises, practices, groups, and users in the following way: When you start a NextGen® Enterprise application, you are provided with one default enterprise, practice, group, and user. Adding additional enterprises and practices to the directory allows you to manage multiple practices and provide more secure access to patient data. Each user must be assigned to a group, which in turn must be assigned to a practice, and each practice is assigned to an enterprise. Advisor Operation

The Advisor Operations subgroup in the System Administrator application enables users to access various sections of the NextGen® Enterprise PM Advisor window. Subgroup Used in Description Accounts Receivable NextGen® Enterprise PM Enables users to access the Accounts Receivable section of the Advisor window. Advisor Update NextGen® Enterprise PM Enables users to access and run the Advisor Update process from the File menu > Processes. The process updates the totals on the Advisor page, and it normally runs automatically each night. Appointments NextGen® Enterprise PM Enables users to access the Appointments section of the Advisor window. Claims NextGen® Enterprise PM Enables users to access the Claims section of the Advisor window. Email NextGen® Enterprise PM Enables users to access the Email section of the Advisor window. Remove the Enterprise and Practice Fields

To remove the Enterprise and Practice fields from the Logon window, double-click View > Universal Preferences > General Options > Bypass Enterprise/Practice at Login in System Administrator. Set to True to enable users to log on to the NextGen® Enterprise applications without having to select an enterprise and practice. The Logon window will no longer display the Enterprise and Practice fields. Note: If a user has access to only one practice, then when the user selects the Logon button, the application opens. If a user has access to multiple practices, then when the user selects the Logon button, a window displays so they can select the appropriate enterprise and practice before the application opens. Set up Security Access Rights for NextGen® Enterprise

To download and upload files to NextGen Electronic Data Interchange (NextGen EDI), users must have the appropriate security access rights. Access System Administrator. The System Administrator window opens. On the left, select to expand the appropriate Enterprise and Practice. Select the desired user Group within the practice. Select the Rights tab. Select to expand Operations, and then NextGenEDI. Select the appropriate Access Rights (Yes or No) for each of the following: Download Available Files: Enables users to download files from the NextGen EDI website. Upload Letter Export File: Enables users to upload letter export files from NextGen® Enterprise PM to the NextGen EDI website. Upload Statement Export File: Enables users to upload statement export files from NextGen® Enterprise PM to the NextGen EDI website. To save changes, select Save, and then Update. All of the options in the Admin menu require specific user rights and permissions and are available only to users in a System Administrator role. The basic options included in the Admin menu are as follows: Tools Option Description Work Flow Manager Enables setting up Out-of-Office status, PAQ, and Workflow Delegates.
