Appointment Tracking & Evaluation Types Panel

Cancel an Appointment

You can only cancel appointments created in NextGen® Enterprise EHR, not those created in NextGen® Enterprise PM. You can view the canceled appointments. Select an appointment. Select Cancel Appointment in the toolbar. An Appointments cancelation confirmation window opens. To cancel the appointment, select Yes. The appointment is cancelled and removed from the appointments list. To view canceled appointments, select Appointments > Show Cancelled Appointments menu. Canceled appointments appear with a strikethrough line. Note: Appointments canceled for the current date are displayed, whether the Show Cancelled Appointments options is not selected. Canceled and No-show Appointments

The counts in the Canceled Appts and Appt. no shows fields pull directly from NextGen® Enterprise PM. The count in Appt. no shows excludes today’s appointment and reflects all appointments that were not marked as "Kept". Note: See Cancel App Tracking Reasons on the System Config system template to configure which reasons for canceled appointments affect the “Canceled appointments count” on the NTS Homepage. Track Reasons for Appointment Cancellations or Stopping Recalls for an Expired Patient

Use this procedure to do the following: Expire a patient Cancel future appointments and stop active recalls Enter a Reason for Cancelling Future Appointments or Stopping Recalls Access the Modify Person/Patient Information Window for the patient that you want to expire. On the Modify Person/Patient Information window, select the Expired check box. The Expired Date field becomes active. In the Expired Date field, enter the date of death for the person/patient. A application message appears, asking if you want to cancel future appointments and stop active recalls. Do one of the following: Select Yes. If Appointment Cancellation Tracking or Recall Plan Stop Reason tracking is enabled in Practice Preferences, you will need to select a reason for the appointment cancellation or the recall plan stop reason then select OK. Cancel Group Appointments

When you cancel a group appointment, all associated individual member appointments are also automatically cancelled. A group appointment in a recurring series has a combination of linked and unlinked group appointments. You can determine the group appointment that needs to canceled. You can also cancel a group appointment shell which can be a part of recurring series or a non-recurring one. In NextGen® Enterprise PM, open the appointment book. From the Daily, Weekly List, Weekly Schedule, or Multi-View view, right-click an individual appointment that is scheduled as part of a group appointment, and then select Open > Group Appointment. The Edit Group Appointment window opens. Managing an Expired Patient Record

Future appointments and active recalls can be cancelled when an expired date (date of death) is entered on the Demographics tab of the Modify Patient/Person Information window. When a Patient/Person is marked as expired, you are prompted to stop active recalls and future appointments from the Demographics tab of the Modify Patient/Person Information window regardless of security permissions in the following applications: NextGen® Enterprise PM - from the Demographics tab of the Modify Patient/Person Information window and the Patient's Chart.
