Only the appointment status and room number may be modified in the Workflow module if an appointment was created in
NextGen® Enterprise PM
.
Select an appointment.
Select
Update
in the toolbar.
Edit the required fields.
Select
Commit Changes
in the toolbar.
The changes are saved, and the appointment is updated.

Create an Appointment
NextGen recommends to create and manage appointments in NextGen® Enterprise PM, not in NextGen® Enterprise EHR, if you use NextGen® Enterprise PM as your scheduling source. Appointments created in NextGen® Enterprise EHR are not communicated to NextGen® Enterprise PM. You can create an appointment in NextGen® Enterprise EHR only if you have the View by Provider display setting enabled. If you select View by Resource, you cannot create an appointment in NextGen® Enterprise EHR. You may also create an appointment in NextGen® Enterprise EHR if you use a third-party scheduling application instead of NextGen® Enterprise PM. You can create an appointment in the Appointments tab of the Workflow module. You can create a custom status for the appointment. Select a patient. Note: You must select a patient to create an appointment in the Appointments tab. Access the Appointments tab. Select New in the toolbar. Remove an Appointment
You can only remove appointments created in NextGen® Enterprise EHR, not those created in NextGen® Enterprise PM. Note: Removing an appointment is not the same as canceling it. Removing an appointment permanently deletes it. Select an appointment. Select Remove in the toolbar. A confirmation message Appointments appears for removal of appointments. Select Yes. Cancel an Appointment
You can only cancel appointments created in NextGen® Enterprise EHR, not those created in NextGen® Enterprise PM. You can view the canceled appointments. Select an appointment. Select Cancel Appointment in the toolbar. An Appointments cancelation confirmation window opens. To cancel the appointment, select Yes. The appointment is cancelled and removed from the appointments list. To view canceled appointments, select Appointments > Show Cancelled Appointments menu. Canceled appointments appear with a strikethrough line. Note: Appointments canceled for the current date are displayed, whether the Show Cancelled Appointments options is not selected. Source Scheduling
NextGen® Enterprise PM is used as the default appointment scheduling source in the Workflow module if you are licensed to use. This default is set by the NextGen® Enterprise EHR practice preference to Use PM as EHR's scheduling source in File Maintenance. For more information on this practice preference, go to NextGen Healthcare Success Community and download the latest File Maintenance Preferences Guide forNextGen®Enterprise. If you set NextGen® Enterprise PM as your scheduling source, all scheduling must set up in NextGen® Enterprise PM. Both provider and resource appointments are available in the Workflow module. If you are not licensed to use NextGen® Enterprise PM, or if you choose to disable the practice preference to use NextGen® Enterprise PM as the default scheduling source, you can only work with provider appointments. Appointments
The Appointments tab of the Workflow module provides access to the daily appointments of the patients for multiple providers in NextGen® Enterprise EHR. Appointments show for the selected date on the calendar. The calendar defaults to the current date. Hovering your mouse over a date on the calendar displays information about appointments scheduled for that day. Hovering your mouse over the Appointments button in the Demographics section enables you to view the list of the appointments for the selected patient or task. Appointment information includes the appointment time, room, patient name, subject, reason, status, provider or resource name, and wait time. You may select a specific view to view patient appointments by: Daily Multi-View Timeline Right-clicking an appointment provides the same options as the buttons displayed on the toolbar. Workflow Appointment Statuses
In addition to the standard appointment statuses used in NextGen® Enterprise PM (expected, kept, cancelled, no show, and pending), you can create custom appointment statuses in NextGen® Enterprise EHR and can be used in the Workflow module. These workflow statuses can be integrated with the Appointment Book. When you select the Display appointment text in Workflow status color option in the General tab of the Appointment Scheduling Preferences window, the text color of scheduled appointments in NextGen® Enterprise PM changes to reflect the color of the appointment workflow status in NextGen® Enterprise EHR. Custom Appointment Statuses for use in workflow are created in Appointment Preferences in NextGen® Enterprise EHR. When the appointment status is changed in the Workflow module in NextGen® Enterprise EHR, the text color on the appointment changes to reflect the status selected.
