Managing Outbound Closed Loop Referrals

When you initiate a referral in the Data Share module, it is sent as either a simple referral or a closed loop referral, depending on the capabilities of the receiving system. For a closed loop referral, you can use the Closed Loop Referrals tab to view or cancel the referral. You can also use the Export tab to send updated information or to send the referral to a different provider. Cancel Closed Loop Referral Requests You can cancel a closed loop referral if you decide that it is no longer needed. Change the Receiving Provider for a Closed Loop Referral While a closed loop referral request is in progress, you can create a new referral request to send the same referral order to a different receiving provider. Send Updated Information for a Closed Loop Referral While a closed loop referral request is in progress, you can create a new referral request to send updated clinical data to the receiving provider. Working with Closed Loop Referrals

To help you track referrals effectively and meet patient needs, you can use NextGen® Enterprise EHR 8 to send referrals using the 360 Exchange Closed Loop Referral (360x) profile. NextGen® Enterprise EHR8 supports the 360 Exchange Closed Loop Referral (360x) profile of the Patient Care Coordination (PCC) domain, as defined by IHE International. Note: Because closed loop referrals are not fully supported by most Electronic Health Records (EHR) vendors, NextGen Healthcare is introducing closed loop referrals through a pilot program. If you want to be able to initiate closed loop referrals, contact NextGen Healthcare Support and ask to be enrolled in the pilot. Closed loop referrals enable the initiating provider and receiving provider to send each other status updates. Each provider can see the referral status and quickly view the actions that are available and whether a response is pending from the other provider. Change the Receiving Provider for a Closed Loop Referral

You cannot directly change the referral recipient for a referral request that is still in progress. Instead, you can initiate a new referral request for the same referral order. When you do this, NextGen® Enterprise EHR automatically cancels the original referral request. In the Data Share module, select the Export tab. In the To field, specify the new referral recipient. In the Associated Referral field, select the same referral order that you did in the original referral request. Fill in the remaining fields the same way that you did in the original referral request, and then select Preview and Export. NextGen® Enterprise EHR creates a new referral request. Depending on whether the recipient can receive closed loop referrals, NextGen® Enterprise EHR sends a closed loop referral or a direct message referral. Send Updated Information for a Closed Loop Referral

The 360 Exchange Closed Loop Referral (360x) profile does not provide a way for the initiating provider to send updated clinical data to the receiving provider. To fulfill this need, NextGen® Enterprise EHR sends such updates as direct messages instead of closed loop messages. In the Data Share module, select the Export tab. On the Encounter History tab, select a newer encounter than the one used for the original referral request. This newer encounter can include newer clinical information, such as test results. In the To field, specify the original referral recipient. In the Associated Referral field, select the same referral order that you did in the original referral request. If you need to add an attachment, then do the following: In the Clinical Information pane, set Export Type to Manual Data Selection. In the Attachments pane, select an attachment. Add a Referral

You can select the Medications or Immunizations links at any time during the encounter to access the associated module. You can use the Referrals Order template to add a referral. Select any of the informational buttons to learn more about the Referrals Order template. Open NextGen® Enterprise EHR. On the Referrals Order template, in the Insurance name field, select to select from the patient's available options. Enter the insurance policy number in the Policy # field. In the To section, select Specialty/specialist name/site. To select a value from the list, select the Specialty field. Providers Master File

In the Providers master file, you can set up providers who offer a service or refer a patient for a service. You can set the access right for the Provider master file to read-only for user groups. The setting prevents the user group from modifying the master file. For more information on setting up rights and permissions, go to NextGen Healthcare Success Community and download the latest System Administrator Guide for NextGen® Enterprise and see Rights and Permissions section. On the Providers List window, you can see the Rendering, Providers and National Provider ID columns. Rendering providers are indicated by a checkmark in the Rendering column.
