Set up the Orders Auto Release Utility

To set up the Auto Release criteria for your practice, on the Auto Release Form window, select the Plus + sign. The Details window opens. For the Instance Name, enter your practice's user-defined name. For the Process Time, enter the time the system releases the future and recurring orders. The system releases the future and recurring orders based on the due date selected when the order was created in the Orders module, and according to the number of days specified in File Maintenance Auto Release Orders Due In practice preference. For example, if you set up 3 days in the Auto Release Orders Due In field, the system releases the order 3 days before the scheduled due date. In the Practices section, select the practices for this Instance. Select Add. The Auto Release Form window displays the added instance (that is, the practice's user-defined name) and the process time. Select Activate Selected Instance. The Security Log On window opens. Update the Orders Auto Release Details

You can update the practices and process time for an active instance on the Detailswindow. Open Orders Auto Release utility. From the Instance list, select the Instance name (user defined). Select Deactivate. A confirmation window opens. Select Yes. The Security Logon window opens. Enter your User ID, Password, and Domain associated with your Windows® log on credentials. The Auto Release Form window opens. Note: The Instance Application Status fields are now blank. To update the time or change the practice for an instance, select Details. The Details window opens. View the Orders Auto Release Details

You can view the Practices and Process Time for an Instance. However, if an Instance is activated, you must deactivate it to view this information on the Details window. Refer to the following procedure for the detailed steps. From the Windows® System Tray/Notification area, double-click the NextGen EHR Orders Auto Release utility icon. In the Instance list, select the appropriate Instance Name (that is, user-defined name). If the Instance is inactive (Application Status fields are blank), go to Step 5. If the Instance is active (Application Status fields are populated) do the following: Select Deactivate. A confirmation window opens. Select Yes. The Security Logon window opens. Run the NextGen Orders Auto Release Utility on Demand

After you set up the Orders Auto Release Utility, you can automatically release the Recurring and Future orders on demand. From the Windows® System Tray/Notification area, double-click the NextGen EHR Orders Auto Release utility icon. In the Instance list, select the appropriate Instance Name. Select Details. The Details window opens, displaying the scheduled run time. To override the scheduled run time and run the Auto Release immediately, select Run Now. The orders are automatically release. Select the Close (X) button. Note: Auto releasing orders on demand does not change the original Auto Release set up time. Multiple Instances

You can set up the same time to release future and recurring orders for multiple practices associated with an instance. If your practice or enterprise is associated with many practices, you may need to set up more than one instance, such as by region. Your practice can run multiple instances on one machine. CAUTION: If you set up more than one instance, each instance name must be unique. If you create a duplicate name for an instance, the system displays an error. Practice A has 30 associated practices, which are located in different regions and time zones. To create different time schedules for these practices, Practice A needs to set up three instances, such as Lab Region 1, Lab Region 2, and Lab Region 3. The instances can run on the same machine according to the scheduled times for each instance. Set up the NextGen Orders Auto Release Utility for Multiple Instances

Open Orders Auto Release utility. Note: For quicker access, create Short Cuts on your Windows Desktop for each Instance you intend to set up. For example, if you are setting up three instances, create three short cuts, such as Lab Clinic Region 1, Lab Clinic Region 2, and Lab Clinic Region 3. On the Auto Release Form window, in Instance Name, enter the Instance name for the first instance. Select the Plus + sign. The Details window opens. In the Practices section, select the practices that are associated with this Instance. For Process Time, enter the time the system releases the appropriate Future and Recurring orders for the selected practices. Select Add. The Auto Release Form window opens. Select Activate Selected Instance. If you are not logged into your current practice, the Security Log On window opens. Log in to continue. Minimize the Auto Release Form window. CAUTION: Do not exit.
