Return to In-the-Office Status

If you are a provider or user, and you have set up Out of the Office status, notifications appear when you try to access NextGen® Enterprise EHR. If you log on to NextGen® Enterprise EHR when you are scheduled to be out of the office, a confirmation message appears to change your status: To set your Office Status In the Office, select Yes. Your delegates no longer have access to your inbox. To continue with Office Status Out of the Office, select No. Your delegates continue to have access to your inbox. The first time you log on to NextGen® Enterprise EHR after being out of the office, the Welcome Back message window opens. To set your Office Status In the Office, select Yes. Your delegates no longer have access to your inbox. To continue with the Office Status Out of the Office, select No. Your delegates continue to have access to your inbox. Delegate PAQ Tasks

If you are an administrator or provider, you can assign delegates to sign off the following PAQ items: Documents, NextGen® Enterprise EHR Images, Template Notes, DM Images, Orders, Reports, and HIE Documents. The Provider Approval Queue tab opens by default when you access the Work Flow Manager: Provider or Work Flow Manager: Administrator window. If the Provider Approval Queue tab is not in view on the Work Flow Manager: Provider or Work Flow Manager: Administrator window, select to open it. The tab displays the names of any existing delegates. Check boxes show which PAQ item types a delegate is assigned to. To add a delegate, do the following Select the delegate from the Providers tab or Users tab in the Delegates section. Note: You cannot select providers with a grayed out icon select. To give the delegate daily access to the selected provider's PAQ items while the provider is in or out of the office, select Add for the Use Always section. Delegate Workflow Tasks

If you are an administrator, provider, or user, you can assign delegates for workflow and NextGen® PxP Portal tasks. On the Work Flow Manager: Provider or Work Flow Manager: Administrator window, select the Work Flow tab. On the Work Flow Manager: User window, the Work Flow tab is the only tab and is in view by default. The tab displays the names of any existing delegates. Check boxes show if a delegate has access to either or both workflow tasks and the NextGen® PxP Portal. To add a delegate, do the following: Select the delegate from the Providers tab or Users tab in the Delegates section. Note: You cannnot select providers with a grayed out icon as they do not have a relationship status. To give delegate daily access to the selected provider's or user's workflow tasks, while the person is in or out of the office, select Add>> for the Use Always section. Note: If you are an administrator modifying delegates for a deactivated user or provider, only the Use Always section is available.

You can assign delegates to act on your behalf on a daily basis or only when you are out of the office. Your assigned delegates can sign off and also, complete your workflow and NextGen® PxP Portal tasks. From the Admin menu, select Work Flow Manager and then User. The Work Flow Manager: User window opens. Your name appears as the user. The In the Office status is selected by default. If you are not in the office, select Out of the Office. Workflow Module Delegates

The Workflow module enables you to manage workflow delegates and out-of-the-office statuses as a user, provider, or administrator. If you are set up as the workflow delegate for someone, you can view and work on tasks assigned to that person. To access those tasks, you can log on with your own credentials, open your inbox, and then select the person you are delegated to from the provider list. You can choose to be notified when the provider or user you are the delegate for is out of the office. Note: A patient Inclusion or Exclusion list may restrict your access to tasks in the Workflow module. If you are a workflow delegate for another user or provider, you may not be able to access the same patient's tasks as that person. If you do not have access to a patient, a Restricted message appears, and the patient's name is not displayed.
