Information for AOE Questions

Certain lab test orders require patient information to run the test and determine the results. For example, the test might require a person's height, weight, age, race, or other information. To define Ask at Order Entry (AOE) questions in NextGen® Enterprise, you must gather the following information for each question you use with any testing performed at your practice, and then create entries for the question(s) using File Maintenance. Column Column Content System This value is the testing entity, such as Labcorp or Quest Diagnostics. Question Code This code value is provided by the testing entity, such as Labcorp or Quest Diagnostics. Each testing entity has its own naming requirements. Description This is a free text field. The description for the question is selected by you. Duplicating AOE Questions

NextGen® Enterprise EHR version 5.6 and later enables you to map multiple tests to the same AOE question. If you have duplicated your AOE questions in NextGen® Enterprise EHR version 5.5.x, only one instance of each unique question is kept during the upgrade to NextGen® Enterprise EHR version 5.6 or later. You must re-map all templates/fields that might be affected during the upgrade process. To determine whether you have any duplicate AOE questions and/or if you need to remap any templates, download the 5.6 AOE Questions Upgrade Crystal Report package from the NextGen® Enterprise website. The report identifies whether you have duplicate AOE questions, which duplicate AOE questions are no longer mapped to a template and which templates are affected. Defining an AOE Question

To define an AOE question, you need to know: what labs require questions what question codes and value codes are defined for a question what are the legal values for the answer To help you understand what is needed to set up test questions, below are some sample AOE questions that are used by Labcorp. In the value Code column of the table, you see unique codes assigned by Labcorp to the AOE questions associated with the tests described in the table. This value varies by lab and comes in many forms. The Source type tells you what format the answer is in. The Units column shows the legal answer values for that question. Setting Up AOE Questions

AOE questions are questions that the provider or user asks the patient when they send the test order out to their performing entity, for example, the patient's race; did they fast before the test?; what is the specimen's origin?; and other questions. Required questions are defined by the entity performing the test. The user does not make up their own questions about the test; they must come from the testing entity, such as a lab. The question has a code that the test performing entity understands (both the question and the answer must be sent exactly as the performing entity (the lab or radiology unit ) requests, for example, you cannot send "fasting" as a question if the lab-defined question asks for "fast". A text description associated with each question makes it readable. Some question's answers are optional, some are required. A flag that you can select on the test question in file maintenance makes the answer required. If the check box is turned ON an answer is required. When you

Test Details Tab

In the Test Details tab for your test orders, you can enter the test name, collection details and AOE questions. If you select a test in the Test Name list and then select the Select to display Specimen handling details link, the Specimen Handling Information window opens, showing details on the collection of the test specimen. The detail for the test specimen and AOE questions is entered using File Maintenance when you create the Orders test code. You select Order Tests in Master Files. There is a tab on each record for Specimen Handling where you can input the information for this test. Under the Options tab there is also a section for entering Ask at Order Entry Questions information. In the center of the Test Details tab, in the Collection Date/Time field, you can assign a collection time for the order. Link a Template Field to an AOE Question and Answer

For some AOE Questions, you can link the answer from a template field. For example, you can link the patient's race from the patient's chart. You can define the link to a template field for an AOE question and answer in File Maintenance. In File Maintenance, select Master Files > System > Order AOE Questions. Select a test from the list. Select Template from the Source Type list. The Template name and Field fields open for input. From the field lists, select a template name and field to associate with this AOE answer.
