Administer Immunizations for VFC-Eligible Patients

If your practice treats VFC-eligible patients, you can administer immunizations to them. Note: Before administering Immunizations, ensure that you have completed the recommended set up and mapping steps for custom VFC SIM codes. After selecting the vaccines on the Select Vaccines tab, select the Vaccine Details tab. The Create New/Update Immunizations Order for patient name window displays (on the Vaccine Details tab). On the Vaccine Details tab, select the vaccine, and provide the Vaccine and Immunizations Detail. For a VFC-eligible patient immunization, select the VFC Reason check box and select a VFC Reason from the list. In the Vaccines grid list, for the selected vaccine, Is VFC is selected and the VFC Reason displays. Select the Lot Number, if it does not display, enter it manually. Vaccine Inventory data populates. Enter additional information for the selected Immunization order, for example, Vaccine date, Brand Name, or Route, patient received counseling (Counseled); or if the

Select Vaccines

To begin the Immunizations ordering process, select a vaccine or group of vaccines on the Select Vaccine tabs. You can select vaccines using different options, such as by favorites, pediatrics, adult, categories, or searching all vaccines. To create a new immunizations order, from the Immunizations tab, select the New Order list, and select Immunization Order. The Create New Immunization Orders for patient name window opens on the Select Vaccines tab. Select scheduled vaccines for the patient using the appropriate option, for example, Favorites or Search. If a diagnosis is associated with the vaccine, the diagnosis is displayed when you select the vaccine. Note: Any unresolved diagnoses for the vaccine display for more information and consultation, if necessary. Review any existing allergies and select, if applicable. If not, select No To All Allergies. Note: The Allergy Review window does not appear automatically if it has been disabled in the Orders Practice Preferences in File Maint

Administer a Vaccine not in Inventory

For certain situations, you may need to administer an immunization for a vaccine that may not be in your practice's Vaccine Inventory. For example, a patient has been bitten by a rabid animal. From the Orders module, select Immunization Order from the New Order list. On the Select Vaccines tab, select Search All and search for the specific vaccine. The vaccine displays in the search results. For example, if you searched on rabies, vaccines for rabies appear. Select the appropriate vaccine and select OK, and then view and select an Allergy, if necessary. To administer the Immunization, select the Vaccine Details tab. Enter the Lot Number and NDC ID in the NDC ID field. Note: The caution indicator displays, which indicates the NDC ID for this rabies vaccine is not in the NDC Library. To verify if any NDC entries exist for this vaccine, select the ellipsis to access the NDC Lookup. No NDC ID codes appear for the CPT in the NDC lookup, indicating there is no valid record in the NDC Library

Set up the Vaccine Inventory for Immunizations

Before you start, run the most recent Medications Update. Set up your practice's Vaccine Inventory. Note: By default, the CPT code is mapped to the Service Item Master code. If your practice uses custom SIM codes, you can map these codes to the appropriate CPT code in File Maintenance > Systems > Vaccine Billing. Before building your vaccine inventory, it is recommended that you map your custom (or alternate) SIM codes, if necessary. Set up specific lot numbers for a component, if necessary. If your practice administers Immunizations to VFC-eligible patients and you have set up custom VFC SIM codes, you must select the VFC SIM code as the default or non-default using the Vaccine Billing option in File Maintenance. If your practice administers Flu Immunizations to patients with Medicare as the payer, you can set up the alternate Medicare Billing codes (Q codes) in the NDC Library to ensure accurate billing. Setting up Immunizations Tasks to Streamline Vaccine Billing

To streamline vaccine billing as you complete various Immunizations tasks, ensure that billing administrators and appropriate clinical staff set up your NDC ID codes and SIM codes appropriately. Set up and map Custom SIM Codes for Immunizations Billing Set up Vaccine Billing Administration codes. Before you set up the vaccine inventory, select your practice’s default NDC Library and set up the NDC Library. Note: This enables the system to display the NDC details in the NDC Lookup when you add or update the vaccine inventory; or when you administer Immunizations in the Immunizations module. For accurate billing of alternate Medicare billing codes of certain Flu vaccines, your billing administrators also need to set up the NDC ID codes in the NDC Library. If you administer VFC Immunizations to VFC-eligible patients in your practice, for VFC billing purposes, you can configure unique custom SIM codes for the VFC and non-VFC patients for each location. Administering Immunizations

Each patient is unique and the Immunizations module provides flexibility and efficient functionality to help you administer each immunization according to patient needs. After you determine which immunization the patient needs, the next step is to administer the specific Immunization order. Each order requires certain information about the vaccine and other pertinent information such as billing codes, registry, and special patient needs, for example Medicare patients. During the administration process, you can review the VIS history, print the VIS document, track the Immunizations life cycle for each order, and administer a vaccine not in the Vaccine Inventory. After you have administered the immunization, for your records, you can print the Immunization Summary report to view a patient’s immunizations.
