Address Content Standards

Address content is standardized and validated according to U.S. Postal Service CASS standards, which are documented in USPS Publication 28 USPS Postal Addressing Standards (http://pe.usps.com/cpim/ftp/pubs/pub28/pub28.pdf) and CASS system documentation. Examples of standardization applied include steps to: Correct the city and state if they are discernible Correct the ZIP code if needed, based on other address content Add the +4 extension to five-digit ZIP codes Correct the street name if it is misspelled in simple ways Correct the street type if it is incorrect Validate the house and/or building number Verify the suite, floor, unit, and so on, if it is needed for an address. Note: Some addresses require the suite number. Real-Time Address Validation for Case Contacts

Real-time address validation occurs after you enter an address for a Case Contact and select OK to save the data. This process applies to addresses entered on the Case Contact window for the Primary Address and the Secondary Address. After you selectOKthe address is automatically sent to the USPS address validation API and compared to the addresses in the USPS database. The address fields that are sent for validation are address 1, address 2, city, state, and zip. The name of the entity is not sent. The USPS address validation API responds with one of several messages stating: Valid address. Address cannot be found. This address may be undeliverable. Address can be updated. The USPS provides the address found in the database. After the address validation process occurs, one of the following icons displays above the address fields on the window. - This icon indicates that an address may be undeliverable: The USPS database cannot locate the address in the USPS address validation API. Validate a Person/Patient Address - Address Not Found Validate a Person/Patient Address - Address Not Found From the main toolbar in NextGen® Enterprise PM, select Lookup. In the People Lookup window, select New. In the Add Person Information window, enter the patient's address. Note: To automatically fill the City, State, Country, and County fields, you can enter the patient's zip code. Select OK. The address fields are sent to the USPS address validation API and compared to the address fields in the USPS database. The USPS address validation API responds with a validation message, stating the address is a match to the address in the USPS database. To enter the patient's address, select one of the following options: Billing - Enter the address used by the practice to send statements, claim information, and any additional correspondence between the practice and the patient. This is the process flow for when the USPS database cannot find a match in the database. Both the user and the practice must be setup for real-time address validation before performing this procedure. Enter the following required address field's for the entity: Street 1 (required): Enter the street address for the entity. Street 2: Enter additional mailing information. For example, building number or suite number. Zip (required): Enter the zip code. The City, State, Country, and County fields will auto-populate. You can enter the 9 digit zip code. For example, 12345-1234. City (required): Enter or select the city of the mailing address. State (required): Select the state for the mailing address. Select OK. The address fields are sent to the USPS address validation API and compared to the address fields in the USPS database. The USPS validation API responds with an error message. Field Descriptions in the Add or Modify Zip Code Information Window

General Field Description City Enter the city of the ZIP Code. State Enter the state of the ZIP Code. Zip Enter the ZIP Code. Country Enter the country of the ZIP Code. Default Area Code Enter the area code you want the application to display each time the zip code is used in an address. The remaining fields are available only when you open or create a ZIP Code in File Maintenance. They are not available when you add a ZIP Code on the fly. Field Description Time Zone Time Zone designation within the U.S. - numbers 4-11 are assigned as follows: Code Description 4 Atlantic 5 Eastern 6 Central 7 Mountain 8 Pacific 9 Alaska 10 Hawaii-Aleutian Islands 11 Samoa Note: The time zone selections come from the Time Zone code table. Daylight Savings Time Indicates whether a zip code is on daylight savings. County The county or parish of the ZIP Code. This field maps to the County master list.
