Create Barcode Separator Sheets

Before you begin Make sure that the document type you want to display in barcode form on the separator sheet includes Medical Record Number, Person Number, and Encounter Number fields, and these fields are configured for auto search. Create a form template that includes data fields that display with a barcode font. You can include the patient and document type on one sheet or have them on separate sheets. NextGen® Document Management supports the following patient barcode data fields on separator sheets: Patient Medical Record # (for example, NGMRN:000000001234) Person Number (for example, NGPN:1234) Encounter Number (for example, NGEN:1234) Open File Maintenance. In Master Files, select System, and then select Form Templates. In Form Templates List, select the open menu button, and then select New.The Form Design window opens. Add Patient Pre-Printed Barcodes to Existing Form Templates

Before you begin The existing forms must have data fields that display in a barcode font. Open File Maintenance. In Master Files, select System, and then select Form Templates. In Form Templates List, double-click the template that you want to add the patient barcodes to.The Form Design window opens. On the toolbar, select Insert Data Field.The NextGen Data Repository window opens. Select the following data fields and drag them onto the form: Patient Information > Patient Medical Record # and Person Number (Doc Mgmt Separator). Encounter Information > Encounter Number (Doc Mgmt Separator). Note: Place the data field on the form one inch from the top and left side of the form. Make sure to have a one-inch space between the subsequent data fields. On the form, right-click one of the data fields, and then select Font > All Data Fields. The Font window opens. Create an EOB Document Type

File Maintenance includes an Explanation of Benefits (EOB) document type template that you can apply when you create a document type for EOB batches in NextGen® Document Management. The template automatically assigns EOB-related fields to the document type. Note: To use EOB filing with NextGen® Enterprise PM, a document type with the NextGen EOB template assigned must exist. Open File Maintenance. In Master Files, select System or PM or Document Management, and then select Document Types.The Document Types List window opens. Select the open menu button, and then select New.The Document Type Information window opens. In Document Type Description, enter the name of the document type, making sure the name indicates it is an EOB document type. In Document Type Template, select NextGen EOB as the EOB template you want to apply.The Document Type Information window displays the list of EOB-related fields that comprise the template. Print Barcode Form Templates

Open NextGen® Enterprise PM. Open a patient chart, and then select the Encounters tab. Right-click an encounter, and then select Print > Forms. The Print Forms window opens. In Template, select the form template that you have set up as a separator sheet. In Master File, select Document Types. Select the document type master file you want to associate with the System Master File Text data field on the form template. When you scan the separator sheet with barcodes, the File menu in NextGen® Document Management displays the selected document type and the fields associated with it. Note: The document type that you assign when printing the form template must have an MRN field that is set for automatic search. Select Print. Note: To use the barcode engine, activate it in the User Preferences window and then use the Scan & File feature. Turn on Barcode Recognition for Barcode Separator Sheets

Before you begin Create and print the separator sheets by setting up form templates that include data fields configured to display document type in a barcode font. You can set up NextGen® Document Management to read barcodes printed on separator sheets that are inserted into documents. The barcodes can correspond to document types or patients. After the barcodes are scanned, the separator sheets are not imported to NextGen® Document Management. When NextGen® Document Management scans the barcode, it automatically inserts the barcode value into the correct document type field for filing. Note: You must apply a NextGen® Document Management Barcode Engine User License to each user you want to perform barcode scanning in NextGen® Document Management.
