Create an EOB Document Type

File Maintenance includes an Explanation of Benefits (EOB) document type template that you can apply when you create a document type for EOB batches in NextGen® Document Management. The template automatically assigns EOB-related fields to the document type. Note: To use EOB filing with NextGen® Enterprise PM, a document type with the NextGen EOB template assigned must exist. Open File Maintenance. In Master Files, select System or PM or Document Management, and then select Document Types. The Document Types List window opens. Select the open menu button, and then select New. The Document Type Information window opens. In Document Type Description, enter the name of the document type, making sure the name indicates it is an EOB document type. In Document Type Template, select NextGen EOB as the EOB template you want to apply. The Document Type Information window displays the list of EOB-related fields that comprise the template. Set Up Quick File Hot Keys Master File

When you set up the Quick File Hot Keys master file and Quick File is activated, you can configure the Quick File entries that appear at the top of the File window in NextGen® Document Management. Each entry you make in the Quick File Hot Keys master file contains predetermined filing information that you can apply to a document or image by selecting the applicable Quick File entry. The Quick File Hot Keys master file saves you the time it would take to manually enter the filing information for each image in a batch. With the Quick File feature, you only need to select the appropriate Quick File listing for each document in the batch. Example Quick File list of hot keys Open File Maintenance. Document Type Information Fields

Review the table and complete the following fields: Field Description Document Type Description Enter the name of the document type you want to create. Document Type Template You can select a template that makes pre-configured settings for the Document Type. The available Document Type templates are: NextGen EOB - Select this template to add pre-configured EOB field and field settings to the Document Type. There should be at least 16 fields that populate after this is selected. Otherwise, the EOB functionality will not work. Link Explanation of Benefits Images to NextGen® Enterprise PM Transactions

You can associate Explanation of Benefits (EOB) batches that you scan or import into NextGen® Document Management with the transaction batches you create in NextGen® Enterprise PM. Associating EOB batches enables you to view the EOB information as you enter payment transactions. Note: You can link an image from NextGen® Document Management to an active NextGen® Enterprise PM transaction through the EOB Payment Entry window. You can select Alt+L in NextGen® Enterprise PM when the image you want to link is displayed in the viewer. Open NextGen® Document Management. Scan or import an EOB batch of documents to NextGen® Document Management, and then assign an EOB document type to the batch. OpenNextGen® Enterprise PM, and then when you create a transaction batch, in the Batch Maintenance window, select the NextGen® Document Management EOB batch from the Doc Mgmt Image Batch list.The transaction batch is associated with a batch of EOB documents in NextGen® Document Management. Set Up Document Types

Document types provide a specific classification for documents and images. Since you must assign document fields to document types, you should create your document fields before you create the document types. For information on setting up document fields, go to NextGen Healthcare Success Community and download the latest User guide for NextGen Document Manangement and see Set Up Document Fields. Note: NextGen Healthcare recommends that each document type has one Person Number key field associated with it to serve as a unique identifier. Therefore, to associate a person number to each document type, in the Document Type Information window at File Maintenance, select the Potential Order Result check box and mark the Person Nbr field as Required. In File Maintenance > Master Files, select System or PM or Document Management, and then select Document Types. The Document Types List window opens.
