Using NextGen® Document Management with Other Applications

When you open a patient image in NextGen® Document Management while NextGen® Enterprise PM or NextGen® Enterprise EHR is open, the patient chart associated with the NextGen® Document Management image opens in the other application. NextGen® Document Management also displays the image of the active patient. This sequence of actions does not occur when you access NextGen® Document Management with Clinical Context Object Workgroup (CCOW). To synchronize with the active patient, you can select Active Patient from the Tasks menu. From NextGen® Document Management, you can open NextGen® Enterprise EHR demographic and MRN templates. You can access images associated with encounters from the list of encounters that appears in NextGen® Enterprise EHR. You can include images in the workflow. You can right-click a task in the workflow and select the Open Patient's Document option to display the images associated with the task. View the NextGen® Document Management Significant Events History

You can view the history of NextGen® Document Management activity for a patient by: Accessing the patient's chart in NextGen® Enterprise PM. Generating the Significant Events report. Note: You can view the Document Exported event on the Doc Mgmt Sig Event report or right-click an image and select Image Properties. Open NextGen® Enterprise PM. On the toolbar, select Chart, and then search for a patient. For information on searching for a patient, go to NextGen Healthcare Success Community and download the Patient Demographics Guide for NextGen® Enterprise. Open the patient chart, and then select the Clinical History/Notes tab. Expand the History section, and then select Document Management. The Details section displays the list of significant events. Acquiring and Filing Documents and Images

In NextGen® Document Management, you can use the following two methods to scan documents and images: Scan & File Allows you to quickly scan a single page, document, or image into NextGen® Document Management. This option is ideal for scanning and filing one document (with one or more pages) for one patient. Batches Allows you to scan multiple documents or images into NextGen® Document Management. A batch begins when you place a document into your scanner and enter a name for the batch, and it ends when you file all the documents contained within the batch and post it to the system. A batch can be: A single document consisting of one page A single document consisting of multiple pages Multiple documents of varying page length Note: If you create a batch but do not acquire any images, your batch indicates that it has one document and zero pages. Imaging Module

The Imaging module enables you to use clinical images while working with a patient’s medical record in NextGen® Enterprise EHR. You can only access the Imaging module when an image is saved to the patient's chart. With the module, you can open existing images to modify, illustrate, annotate, convert, and save them to a patient's history. You can also scan an image, perform necessary modifications, and then save it. Each image is cataloged by patient, date, and title. From the Imaging module, you can add, modify, print, or delete Quicknotes, or add provider signatures to NextGen® Document Management images. Modification or annotation of NextGen® Document Management images is not enabled. Search for Images and Documents

When you search for documents and images inNextGen® Document Management,you can search among the categories, documents types, and fields you previously assigned to each document and image. The search criteria are not case sensitive. Open NextGen® Document Management. On the toolbar, select Search to open the Image Lookup window. To include images that are not filed to a patient or person, select the Search Non-Person Images checkbox. Search for a patient image by using a single field or a combination of multiple fields. You must enter at least two letters to perform a search. You can use wildcard characters (*), but do not use a wildcard character as the first character of your search criteria. Note: For accurate search results, you can enter more patient details in the search criteria. The Matching Records grid displays the list of patients who are associated with images that match your search results. Patient Documents

Patient documents in NextGen® Enterprise EHR can be a medical or lab report, a referral form, a professional letter, or any other custom-designed form. You can generate new patient documents from previously created user-defined format documents in the Document Builder. When a patient document is generated, macros in format documents insert data from selected template fields. A patient document can be created locally or remotely on a remote workstation. The patient documents are attached to the applicable encounter in the patient's chart. The patient's chart may also contain documents created outside Document Builder. Third-party documents are imported through the NextGen® Interface Engine Document Import Agent. NextGen® Health Information Exchange (HIE) and Continuity-of-Care (CCD) documents are attached to the NextGen® HIE Documents Category of the Categories tab.
