Turn on Barcode Recognition for Barcode Separator Sheets

Before you begin Create and print the separator sheets by setting up form templates that include data fields configured to display document type in a barcode font. You can set up NextGen® Document Management to read barcodes printed on separator sheets that are inserted into documents. The barcodes can correspond to document types or patients. After the barcodes are scanned, the separator sheets are not imported to NextGen® Document Management. When NextGen® Document Management scans the barcode, it automatically inserts the barcode value into the correct document type field for filing. Note: You must apply a NextGen® Document Management Barcode Engine User License to each user you want to perform barcode scanning in NextGen® Document Management. Print Barcode Form Templates

Open NextGen® Enterprise PM. Open a patient chart, and then select the Encounters tab. Right-click an encounter, and then select Print > Forms. The Print Forms window opens. In Template, select the form template that you have set up as a separator sheet. In Master File, select Document Types. Select the document type master file you want to associate with the System Master File Text data field on the form template. When you scan the separator sheet with barcodes, the File menu in NextGen® Document Management displays the selected document type and the fields associated with it. Note: The document type that you assign when printing the form template must have an MRN field that is set for automatic search. Select Print. Note: To use the barcode engine, activate it in the User Preferences window and then use the Scan & File feature. Append Documents After Acquiring Documents and Images from a Scanner

Before you begin Set your scanner color settings to 200 dpi and to black and white. After you scan a document as part of the Scan & File process or as a batch, you can append the document. Appending a document involves adding more pages to the document you have just scanned. You can append documents both before and after you post them. In the scanner, place the document or image you want to scan. Open NextGen® Document Management. On the toolbar, select Scan & File to open the Batch Information window. Enter a description for the batch of documents or images you are about to acquire. You can leave the default description as QuickScan if you prefer. To assign the acquired batch to a user, select the user name from the Secured to User list. You can secure the batch to up to 5000 users. When you secure a batch to a user, no other user with the same level of security privileges can access the batch. Create Barcode Separator Sheets

Before you begin Make sure that the document type you want to display in barcode form on the separator sheet includes Medical Record Number, Person Number, and Encounter Number fields, and these fields are configured for auto search. Create a form template that includes data fields that display with a barcode font. To create barcode form templates, refer to Print Barcode Form Templates You can include the patient and document type on one sheet or have them on separate sheets. NextGen® Document Management supports the following patient barcode data fields on separator sheets: Patient Medical Record # (for example, NGMRN:000000001234) Person Number (for example, NGPN:1234) Encounter Number (for example, NGEN:1234) Open File Maintenance. Assign Barcodes to Document Types

You can assign specific barcodes to different document types. When you scan a document with a barcode, NextGen® Document Management automatically assigns a document type to the image according to the cross-reference configuration that is set up in the Document Types master file. NextGen® Document Management can also file the document to the correct patient if the document uses one of the patient barcodes supported for pre-printed barcodes. Note: The barcode that displays on the image does not require a separator sheet. The patient pre-printed barcodes require NGA prefix followed by the type of the barcodes and the actual value. You can map the existing barcodes to NextGen® Document Management document types. You can also print the patient barcodes on labels and add them on the documents.
