Assign Barcodes to Document Types

You can assign specific barcodes to different document types. When you scan a document with a barcode, NextGen® Document Management automatically assigns a document type to the image according to the cross-reference configuration that is set up in the Document Types master file. NextGen® Document Management can also file the document to the correct patient if the document uses one of the patient barcodes supported for pre-printed barcodes. Note: The barcode that displays on the image does not require a separator sheet. The patient pre-printed barcodes require NGA prefix followed by the type of the barcodes and the actual value. You can map the existing barcodes to NextGen® Document Management document types. You can also print the patient barcodes on labels and add them on the documents. After barcodes are scanned, pages with the pre-printed barcodes are imported to NextGen® Document Management. Open File Maintenance. Add Patient Pre-Printed Barcodes to Existing Form Templates

Before you begin The existing forms must have data fields that display in a barcode font. Open File Maintenance. In Master Files, select System, and then select Form Templates. In Form Templates List, double-click the template that you want to add the patient barcodes to.The Form Design window opens. On the toolbar, select Insert Data Field.The NextGen Data Repository window opens. Select the following data fields and drag them onto the form: Patient Information > Patient Medical Record # and Person Number (Doc Mgmt Separator). Encounter Information > Encounter Number (Doc Mgmt Separator). Note: Place the data field on the form one inch from the top and left side of the form. Make sure to have a one-inch space between the subsequent data fields. On the form, right-click one of the data fields, and then select Font > All Data Fields. The Font window opens.
