Configure Your NextGen® Document Management User Preferences

Open NextGen® Document Management. On the toolbar, select Admin, and then select Preferences > User. The Doc Mgmt tab opens in the User Preferences window. In the Filing Options section, set up the default filing options. In the Tasking Options section, select default users for To-Do form tasking, select a default category for To-Do list items for the users, and then apply the current date to the items created for the users' To-Do list. Note: The default users you select in User Preferences are overridden by existing settings for document types. The default NextGen® Enterprise PM and NextGen® Enterprise EHR users or groups selected in the user preferences of NextGen® Document Management takes precedence over the users or groups selected in the Document Type Information window of File Maintenance. Before using NextGen® Document Management, you must complete the following actions that can be performed in any order: Connect a scanner or an image acquisition device to a computer with the TWAIN driver installed. Configure NextGen® Document Management security rights in System Administrator. Set up the archive location for all images and documents by doing one of the following: If you are licensed to use remote scanning, set up the Imaging Archive Location folder on your network. If you are not licensed to use remote scanning, set up the Network Share Location folder on your network. Note: You must provide full access rights (read, modify, add, and delete) to users for these folders. Configure network impersonation. Create an organization structure for the documents and images. You can set up document fields, document types, and view categories for the organization structure. Resolve Disclaimer Printing Issues

If the disclaimer on your printed image is trimmed from the edges, you may have to recalibrate the printer. The printer may have its own mechanism and procedure to do the necessary calibration. If printer recalibration does not solve the disclaimer printing issue, you can perform soft calibration to resolve the issue. Note: Make sure that the correct size paper is used to print the documents. For example, when you print an image, suppose you select the paper size as Letter but instead use the A4 size paper. The printer clips the disclaimer at the edges because an A4 size sheet of paper is smaller than a Letter size sheet. From the NextGen installation folder, open the NGConfig.ini file. Before you begin As a NextGen® Enterprise EHR user, you must have: Permissions assigned in all of the practices where images may exist for the patient. Access to the document types in the practices. When the Enterprise Chart feature is not turned on, NextGen® Enterprise EHR users can only view the NextGen® Document Management images that are maintained for the same practice. However, by turning on Enterprise Chart, the users can view NextGen® Document Management images that are maintained in any of the practices within the enterprise. Open File Maintenance. In Master Files, select System > Enterprises. In the Enterprises List window, double-click the enterprise from the list. In the Modify Enterprise Information window, select Preferences. The General tab opens in the Enterprise Preferences window. Select the Enterprise Chart checkbox. A message appears to confirm that you want to set the option. Note: After you select the Enterprise Chart checkbox, you cannot turn it off. Select Yes.

Search for Images and Documents

When you search for documents and images inNextGen® Document Management,you can search among the categories, documents types, and fields you previously assigned to each document and image. The search criteria are not case sensitive. Open NextGen® Document Management. On the toolbar, select Search to open the Image Lookup window. To include images that are not filed to a patient or person, select the Search Non-Person Images checkbox. Search for a patient image by using a single field or a combination of multiple fields. You must enter at least two letters to perform a search. You can use wildcard characters (*), but do not use a wildcard character as the first character of your search criteria. Note: For accurate search results, you can enter more patient details in the search criteria. The Matching Records grid displays the list of patients who are associated with images that match your search results.
