Filing Documents to NextGen® Enterprise EHR Encounters

When you file a NextGen® Document Management document to a clinical encounter that is locked in NextGen® Enterprise EHR, you do not need to create an encounter. You can create an addendum to the locked encounter and attach the document to the addendum in NextGen® Document ManagementBy attaching an addendum, you can view the document along with the encounter it belongs to. Note: If the encounter you selected is locked, the application displays a message to indicate that the encounter is locked. Before you begin Ensure that the Rights > Operations > Encounters > Lock Patient Encounter in System Administrator is set to True and the necessary access rights are enabled. For more information, go to NextGen Healthcare Success Community, and download the latest System Administrator Guide forNextGen®Enterprise. To prevent changes or additions to a patient encounter, you can lock the encounter. You can create an addendum to add documents or images to a locked encounter. Note: If you do not lock the encounter manually, the encounter gets automatically locked within 72 hours, by default. NextGen® Enterprise EHR enables you to quickly view the contents of an encounter for a selected patient on the Encounter Details window. Open NextGen® Enterprise EHR, and select a patient from Patient Lookup window. Select an encounter and select the Double arrow button to open the Encounter Details window. Select the respective link to view any document, template, module, or report associated with the encounter.The selected patient item opens in the main window of NextGen® Enterprise EHR. Note: If an encounter is locked, you can open the patient item in read-only format. You can update information for a locked encounter by creating an addendum or custom encounter. Create an Encounter

Before you begin Ensure that you have configured the encounter inheritance settings for Encounters on the Practice Preferences window in File Maintenance. When you have a patient chart open, you can create an encounter for the patient. Each new encounter may inherit information such as Encounter Details and Insurance from the previous encounter in the patient chart. You can add templates, documents, images, and other patient items to the new encounter. You can also assign insurance, enter remarks, and associate a program to an encounter. Open NextGen® Enterprise EHR, and select a patient from Patient Lookup window. To create an encounter, do one of the following: On the Patient Information Card (PIC), select New Encounter. On the PIC, select Profile Options, and then select New Encounter. On the Encounters tab, select New. From the File menu, select New > Encounter.
