Document Group Visit Information

You can document the details of group sessions, including the therapy progress of each individual. There are several types of psychotherapy visits, of these, group visits are a common occurrence in the behavioral health setting. Family and group psychotherapy visits can only be completed for a patient who is already designated as a member of a group in the system. Open NextGen® Enterprise EHR, and then select File > New > Group Encounter. Choose a patient group, and then select OK. To access the Group Prog Note (BH) template, select Select Template Template Icon The Select Template window opens. On the Group tab, select All. Select Group Prog Note (BH). Note: Your practice can also configure the template to be accessible from thePacket Navigation (BH)template. Complete Billing

When completing the ART Meeting Note, CFT Meeting Note, or Staffing Note templates, you use the Billing panel to submit your charges. To indicate the service is not billable, select No Billing for Service checkbox. Note: You can skip the remaining steps. To document Interpreter, Cultural, Counseling Details, select the respective link. In the Assigned Provider field, select a provider’s name from the list and then select Add. The providers name displays in the grid. Billing panel Enter a Start Time and End Time. The Duration field fills in. Note: If the end time is earlier than the start time, an alert appears prompting you to re-enter the start/stop time. This also occurs if the total duration is more than 12 hours. In the Provider field, select a name from the picklist. The names displayed in the list pull from the Assigned Provider field above. Charges

You use the Charges panel to bill for services rendered during the encounter. Your practice can configure SIM codes to be available based on practice, payer/contract, location, licensure, template name in the BH Foundation Configuration template. For more information, go to NextGen Healthcare Success Community and download the Configuration Guide for NextGen® Behavioral Health Suite. If the service will not be billed, you can select the No Billing for Service checkbox. With the checkbox selected, you can skip the billing fields and “No Billing for Service” displays on the generated document. The Provider and Credential fields are read-only fields. The Provider field displays the name of the provider the current user is associated to in System Administrator. A provider with the relationship of Self has their own name displaying in the Provider field. A user associated to a provider in System Administrator has the associated provider’s name displaying. Before you begin Service codes, units, and duration are configured on the Service Code Mapping panel in the BH Foundation Configuration template. If any of these fields are blank, the selected code may not be configured correctly. Your practice administrator must review the configuration. For more information, go to NextGen Healthcare Success Community and download the Configuration Guide for NextGen® Behavioral Health Suite. Open NextGen® Enterprise EHR, and then in Patient History, select Open Templates. The Select Template window opens. On the Medical Records tab, select All. Open the billing template, expand the Charges panel, and then enter the start and end times. Note: If the end time is earlier than the start time, or the duration is more than 12 hours, a message appears to correct the entries. In Service Code, select a procedure service code. For a group encounter, billing can be applied at the individual or group level. Data entered or modified in the group section appears for every member and cannot be modified at the individual level. The Start and End time buttons are available in both of these sections and on the Program Name panel for a group note. The values documented in either place are immediately reflected in the same fields on the other section. Entered times can be modified by clicking in the field. If desired, you can document the time values at a later date. It is important to follow the established format: 00:00 AM or PM. Navigate to the Signatures panel on the BH – Group Therapy Progress Note template. Do one of the following actions in either the Group or Individual section: Click the clock to enter the current value in the End time field. Modify an Existing Group Encounter

You can change an existing group encounter's date as well as time using the Group Encounter Management (BH) template. From the Existing Group Encounters section, select in the Patient Group field. A Group List picklist opens. From the Group List picklist, select the group name and then select OK. The most recent 15 encounters for that group are displayed under the Group Encounters section. Group Encounters section From the Group Encounters section, select an encounter. A list of all clients that are part of the group encounter displays in the Participant List grid. Participant List grid Note: The Charge Qty and Document Qty columns in the Participant List grid displays a 1 when the encounter includes either a charge or a generated document for this client. If the Charge Qty displays a 1, then it is too late to change the encounter date.
