Sign Documents Electronically

You can electronically sign multiple forms or at multiple locations within the same form, for an account or a patient.

Before you begin

You must have an electronic signature pad properly installed and configured to obtain electronic signatures. You must add a System Esignature data field in the Forms Enhanced master file in File Maintenance to turn on this feature in NextGen® Enterprise PM.

You can electronically sign documents shared between different practices; however, you cannot electronically sign documents when generating a blank form from the File > Print menu or when selecting forms for multiple patients.

For setting up electronic signatures, go to the NextGen Healthcare Success Community and download the File Maintenance Master Files Guide for NextGen Enterprise.

  1. Open NextGen® Enterprise PM.
  2. Select File > Print Forms > Forms or select the desired patient from Encounter Lookup window, and then right-click, and select Print > Forms.
    The Print Forms window appears.
  3. Select File > Print Forms > Forms.
  4. In the Print Forms window, select the Forms Enhanced tab, select a form that you want to sign and print.
  5. In the Copies section, enter the number of copies you want to sign and print.
  6. Select Preview.
    The form opens displaying the SIGN THIS DOCUMENT button above the form.
  7. Select SIGN THIS DOCUMENT.
    The NextGen PM Electronic Signature window appears.
  8. In the Esignature Tags panel, select an Esignature to sign.
  9. Select Begin Capture to turn on the electronic signature pad and activate the Capture Window section.
    If you are using an IntegriSign electronic signature pad, then a window opens displaying the Signer Name. You can sign and select OK to proceed.
  10. Sign on the electronic signature pad connected to the system.
    The signature appears in the Capture Window section of the NextGen PM Electronic Signature window.
  11. Do one of the following:
    • On the electronic signature pad, do one of the following:
      • Tap the Cancel "" icon to cancel and turn off the electronic signature pad.
      • Tap the Clear "" icon to clear the signature and sign again.
      • Tap the Capture "" icon to capture the electronic signature
    • In the Capture Window section, do one of the following:
      • Select Clear/Restart to clear the signature and sign again.
      • Select Done to capture the electronic signature.
      • Select Cancel to cancel capturing electronic signature and disable the electronic signature pad.

      If you select Done, then the electronic signature image appears in the Esignature Preview section and the Esignature tag icon changes from Pencil icon to Green tick mark .

  12. To discard the electronic signature, in the Esignature Preview section, select Reset.
  13. Optional: After capturing an electronic signature, if you want to capture another electronic signature, select the next esignature tag.
  14. Select Close in the NextGen PM Electronic Signature window.
    The electronic signature image appears on the form.

    When you select the Close"" icon on the form toolbar, an application message appears asking to archive the signed document. You can archive forms that contain at least one electronic signature. The message does not appear if there are no electronic signatures in the form. You can view the archived forms on the Clinical History/Notes of the patient's chart or on the Notes tab in the patient's account profile.
