You can modify a group appointment if needed. Any modifications made to a group appointment will automatically update the associated individual member appointments with the same changes. You can also manage whether other group appointments in a recurring series should be updated with the same information.
- Access the Appointment Book.
- From the Daily, Weekly List, Weekly Schedule or Multi-View view, select an individual appointment that was scheduled as part of a group appointment.
- Select the group appointment.
- Select the individual appointment you want to update.
- Right-click and then select Open > Group Appointment.
The Patient Group field cannot be modified on a group appointment. You can access the Patient Group window by selecting Open Menu and then selecting Open to view general information, members and future appointments for the group. However, you cannot make modifications to the group.
The Edit Group Appointment window opens.
- Update one or more of the following fields on the group appointment as needed:
- Date
- Time
- Event
- Duration
- Resources
- Service Location
- Details
- User Defined fields 1-8
- Rendering Physician
- Do one of the following:
- To save changes without closing the window, select Save.
- To save changes and close the window, select OK.
Modifications made to the group appointment are saved.
If the group appointment is part of a recurring series and you changed the Date, Time, Event, Duration, Resources or Service Location, a prompt appears informing you that the appointment will be removed from the recurring series.
- To continue, select Yes.
Note: This window opens only if the Track rescheduling reason check box is enabled in Practice Preferences > Appt Scheduling.
If you modified the Date, Time, Event, Duration, Resources or Service Location field, the Reschedule Reason window opens.
- In the Reason for appointment reschedule field, select a reason from the drop-down list and then select OK. This field is required.
The Group Appointment Description section displays the date, time and event for the group appointment that was just modified.
The yellow note on the right lists the specific fields that if modified will remove the selected group appointments from the recurring series.
The Group Recurrences section lists all future group appointments scheduled that are part of the recurring series. The appointments are listed in ascending order by Date/Time.
The Update Recurring Group Appointments window opens.
- In the Group Recurrences section, do the following:
- Select the check box for recurring group appointments that should be updated with the same modifications. All appointments are selected by default.
- Deselect the check box for recurring group appointments that should not be updated with the same modifications.
- To save changes and close the window, select OK.
