First Third Available Report

The First Third Available Appointment report helps a practice identify the average number of days a patient must wait to see a resource for a specific type of appointment. The third next available appointment is used instead of the next available appointment because it is a more realistic depiction of how many days a patient would have to wait to see a provider. A measurement of only the next available appointment can easily be changed due to cancelations or other unexpected events. The settings you choose in Practice Preferences and Scheduling Administration determine the next third available appointment for the desired combination of patient, resource, and event. To access the report in NextGen® Enterprise PM, select the Reports menu and select Scheduling and then select First Third Available. Appointments Listing Report

This listing report can be pulled daily to show who is scheduled, who needs to be confirmed, and what medical records to pull. It is sorted by resource name, appointment time, beginning time, and event. The only total is a count of appointments for each resource. You can run the Daily Appointments Listing report prior to the patients coming in to the office. This enables you to look at the patients' qualifying authorizations and referrals. From the Report Filter: Appointments Listing under Filter 1 you can set the conditions for the data that you want to print on the Appointments Listing report by setting the Appt Statuses field as Cancelled, Expected, Kept, No Show, or Pending. To list appointments of all statuses, select <none> from the drop down box or leave the Appt Statuses field blank. Scheduling Reports

The Scheduling reports category includes various reports that you can use to review appointment information for patients in your practice. The reports can help you monitor and manage appointments and assist with your internal scheduling processes in NextGen® Enterprise PM. Appointment Wait Lists

When a patient's preferred time slot for an appointment is not available, you can create a Wait List item for the patient. A Wait List Item is a means of holding the patient's place in line for an appointment that best meets their first preference. Prior to adding the patient to a wait list, it may be desirable to schedule an interim appointment for the patient. This ensures the patient has an appointment, even though it may not be on the date/time they prefer. The interim appointment exists until an appointment time slot and/or resource that meets the patient first preference, as recorded on the Wait List Item, becomes available. At that point, if the Wait List feature is configured to process automatically, the application creates a Worklog task that instructs the current user to convert the Wait List Item to an appointment for the patient. The application then deletes the interim appointment since the patient now has an appointment that meets his or her first preferences. Reference:

View Existing Appointments for a Patient

You can view existing appointments for a patient from the following locations in NextGen® Enterprise PM: Appointment Lookup window. Add Appointment and Edit Appointment window Patient Information Bar in the Patient Chart. Clinical History/Notes tab in the Patient Chart. Viewing a Patient Wait List

If a patient has an active Wait List Item, you can view the wait list in two ways. You can use any of the access methods listed under Adding Patients to Appointment Wait Lists.
