Print or Export Batch Budget Letters

To generate budget letters in NextGen® Enterprise PM, set the Budget Communication method to Budget Letters in Practice Preferences > Budget Accounts. Open NextGen® Enterprise PM. Select File > Print Forms > Letters > Budget Letters. The Budget Letters window opens. The Budget Options settings are by default in Practice Preferences > Budget Accounts. Review the default Budget Options settings and make modifications, if needed. Do one of the following: To preview the budget letters prior to printing or exporting, select Preview. To print the budget letters, select Print. To create an ASCII export file and to send it to the third-party vendor for processing (printing and mailing), select Export. Select the Update Budget Dates check box. A message appears stating that the letters printed or export correctly. If all budget letters in the batch printed or exported correctly, select Yes. Managing Budget Non-Payments

NextGen® Enterprise PM sets the budget plan to be paid on a monthly cycle. When the patient fails to pay the monthly amount, then there is a grace period set in the Practice Preferences. Note: While running budget letters, NextGen® Enterprise PM determines who has not paid by the due date but is still within the grace period. These accounts receive Budget Delinquent letters. If the patient does not pay within the grace period a budget plan is terminated and the encounters are automatically pre-listed on the Budget Letters window, you can select Run Terminate Process to select the collection agency for pre-listing the encounters. The system do the following: The encounters are reset to non-budget. These encounters are also pre-listed for bad debt to the agency selected in the Budget Letters window. The account is flagged to produce a statement on the next statement run. Note: Budget plans cannot be reinstated when they have been terminated. However, a new budget plan can be set up. The

Budget Plans

A budget plan is a financial arrangement made between the practice and an account guarantor. In this arrangement, the guarantor agrees to make the scheduled payments against their outstanding balance until the balance is paid in full. There are two methods for billing accounts on budget plans, Budget Letters and Budget Statements. Each practice must decide the method of billing as it directly impacts the required setup. Setting Up Budget Plans You can set up Budget Plans in File Maintenance. Add a Perpetual Budget Plan to an Account You can use the Budget tab under the Account Profile window to add a perpetual budget plan to an account. Add a Non-Perpetual Budget Plan to an Account You can use the Budget tab on an Account Profile window to add a non-perpetual budget tab to the account. Budget Accounts Practice Preferences

The Budget Accounts Practice Preferences enable you to set up default parameters for budget plans for your practice. Budget Communication: You can select the method of communication your practice will use to create budget related notifications. Budget Letters: This option enables NextGen® Enterprise PM menu, File > Print Forms > Letters > Budget Letters. Budget letters communicate information about a plan in a separate letter. If you select this method, you can select the default letters to print for budget plans. You can select a default letter template for each type of letter. When you print these letter types in NextGen® Enterprise PM, you can choose to use the default template or any other template. Budget Statements: This option enables the NextGen® Enterprise PM menu path: File > Print Forms > Budget Statements. Budget statements communicate dunning messages about a budget plan as additional information printed on the guarantor's statements instead of as a separate letter. If you

Set Up Practice Preferences for Multi-Language Letters

Enabling multi-language for a letter type allows you to preview and print letters in the patient's preferred correspondence language. This option is available when Enable multi-language for PM is selected on the Enterprise Preferences > General tab. Access NextGen® Enterprise PM. From the Admin menu, select Preferences, and then Practice. The Practice Preferences window opens. From the Preference List, select Forms. In the Enable Multi-Language Letters field, select one or more of the following supported letter types. Appointment Reminder Budget Letter (All) Demand Account Demand Encounter Recall After you select one or more letter types, then the link displays on the Demographics tab of the Patient/Person Information window.
