Managing Patient Inclusion and Exclusion Lists

Your practice may use an inclusion or exclusion list to control the patient records in the database you can view. On the Patient Lookup window, you can view only the patients listed on your inclusion list or all patients except those listed on your exclusion list. The inclusion or exclusion list is set up in System Administrator and applied when you search for a patient in NextGen® Enterprise EHR, NextGen® Enterprise PM, or NextGen® Optical Management. A universal preference for adding to the inclusion list from the Patient Lookup window can be set in System Administrator. If this preference is set to True, all patients who are not on your inclusion list appear on the Patient Lookup window, but are their charts are not available. You can select a patient and select Accept or double-click the patient's name to automatically add the patient to your inclusion list. You can then access that patient's medical records. Search for Patients with Secure Lookup

In NextGen® Enterprise PM, open the Patient/People Lookup window, and then do one of the following: Enter the last four digits of the patient's social security number in the L4DSSN field. Enter the patient's date of birth in the Birth Date field. Enter the patient's first name and last name. If you do not know the complete first and last names, you can enter part of each name or only the initials. Select Find. The Patient/People Lookup window displays the results of your search. Secure Lookup Feature

If a person record does not display on thePeople/Patient Lookupwindow when you perform a search, you can perform a secure lookup to search for the record. This kind of lookup enables you to search for a person record by using the last four digits of the person's Social Security number (L4DSSN) or birth date. To use this feature, you must enter the last four digits of the person's Social Security number or the birth date and at least a partial first and partial last name. Assign Rights for the Secure Lookup Feature

To provide access to the secure lookup feature, security rights must be assigned to the appropriate user groups in your practice. When the Secure Lookup right is set to Yes for the group that the user belongs to, the L4DSSN and secure Birth Date fields display on the Person/Patient Lookup window; the fields do not display if the access right is set to No. For more information on using secure lookups in the People Lookup window, go to NextGen Healthcare Success Community and download the latest Appointment Scheduling Guide for NextGen Enterprise PM. Select a group, and then select the Rights tab. In the Operations permissions group, expand Chart/Demographics/Employer, then select Secure Lookup. Enable Secure Lookup Feature

When the secure lookup feature is enabled, users can perform secure lookups by entering a person's birth date or Social Security number. A search that uses the L4DSSN or secure Birth Date field shows results from within the current MPI at the system level. If the NextGen application is set for single MPI, secure lookups are already enabled by default. If the application is set for multiple MPI, you must enable the feature. Enabling the feature can affect both generic and secure searches. For example: The access to person demographics is limited to just the practice level for generic lookups (regardless of the MPI definition). When the MPI is defined at the enterprise level, enabling the secure lookup features limits the result sets of generic lookups (non-secure lookups) to just the demographics belonging to the practice that the user is logged in to.
