You can run the autoflow for an encounter during check-in and/or check-out process for a person or patient.

Before you begin Ensure that the Estimate Patient Cost item is included in the autoflow. You can run the autoflow for check-in or check-out from an appointment. Open NextGen® Enterprise PM and do one of the following: Select the ApptBook on the toolbar. Select Tasks > Appt Book. The appointment book opens. Right-click an appointment. Do one of the following: Select Checkin from the menu to start the check-in sequence. Select Checkout from the menu to start the check-out sequence. The first window configured in the autoflow sequence opens. Select AutoFlow to open the next window in the sequence. Continue with the autoflow sequence until the Estimate Patient Cost window opens. The Estimate Patient Cost window opens if it is configured in the sequence. The Estimate Patient Cost window displays the appointment details such as the encounter number and date, appointment date, provider, location, and service type. Perform the cost estimation. If you are the administrator, you can configure the autoflow master file to add cost estimation to the autoflow. From File Maintenance, select Master Files > System > Auto Flow Sequences. The AutoFlow Sequences List is displayed. Open a Practice. The autoflow sequence information displays. Select the yellow Open folder button. The AutoFlow Screen/Item Selection opens. Select Estimate Patient Cost from the Available list. Select the left arrow to move the selected item to the Included list. Select OK. Cost estimation can be added to the series of actions in the AutoFlow for check-in and/or check-out processes. The sequential order of items in the AutoFlow is determined by the practice. When you run the AutoFlow from an encounter or an appointment, the Estimate Patient Cost window opens. Add Cost Estimation to Autoflow Your administrator can add patient cost estimation to the autoflow. For details on how to estimate patient cost, go to the NextGen Healthcare Success Community and download the Pre-Services Cost Estimation User Guide for NextGen Enterprise PM. On the Encounter Lookup window, find the encounters. Right-click an encounter from the encounter list. Select Estimate Patient Cost. The Estimate Patient Cost window opens. Create an Encounter from an Appointment Create an Encounter from an Appointment If a patient has appointment and services performed by a provider in the practice, you must create an encounter from the appointment during the check-in process. Open NextGen® Enterprise PM. From Appointment Book, select the appointment. Right-click an appointment and select Checkin/Create Encounter. The Add Patient Information window opens. If the patient does not have a chart, update necessary information in the Add Patient Information window, and then select Chart to create the patient's chart. The Create Encounter window opens. Select a program for the encounter. Enter all the mandatory information marked in red to complete the patient's encounter. Note: In Practice Preferences > Case Management, if the Allow encounter payers to differ when case is attached preference is selected, you can link a case to an appointment even if the insurance on the appointment differs from the insurance on the case. TheAutoFlowuser preferences enable you to select AutoFlow Sequencesthat affect the check-in and check-out processes inNextGen® Enterprise PM. An AutoFlow sequence includes a defined series of windows that you must follow when you check-in patients prior to their appointments, and check-out patients after their appointments. Default AutoFlow sequences for all users in the practice are selected by location in yourAutoFlowpractice preferences. You can also select AutoFlow sequences by location in your user preferences.
