View the Program Linked to an Encounter

You can view the program linked to an encounter from the Patient Chart. From Patient Chart, select the Encounters tab, and then select the General sub-tab. In the Encounters list, select an encounter. In the Encounter Information section, the Program field displays the name of the program linked to the encounter. Note: The Program field appears only if you select the Enable Programs check box on the Programs preference in the Practice Preferences window. When the program access right for a user is set to No in System Administrator > Rights > Operations > Chart/Demographics/Employer > Program, the user cannot see any data in the Program field. Working with Programs in NextGen® Enterprise PM

When Programs are enabled for a practice, you can utilize the following functionality in NextGen® Enterprise PM: Enroll a patient in a program in the Patient Chart from Programs sub-tab under Patient Information tab . Link a patient's encounter to a program from the Create Encounter or General tab on the Encounter Maintenance window. Display a warning message when an encounter does not meet program-specific requirements. Default new encounters to In Progress status when they are created and linked to a specific program. View the program linked to a patient's encounter in the Patient Chart from the General sub-tab under the Encounters tab . Display warning messages on the Charge Posting window when a charge does not meet program-specific requirements. Generate a Daily Encounters, Billed Encounters or Unbilled Encounters report to review and monitor encounters that are linked to programs. Lookup Encounters by Patient Group

You can use the Encounter Lookup window to search for encounters for patients in a specific patient group. To access the Encounter Lookup window, do one of the following: From the main toolbar, select Encounter. From the Tasks menu, select Lookup and then Encounters. The Encounter Lookup window opens. Enter appointment lookup search criteria to find the desired encounters. Multiple parameters can be used. For example, select a Bill Status, Billable Date Range, Rendering Physician, and Service Location. In the Patient Group field, do one of the following to further limit the search results to include only encounters for patients in a specific group: Select a group name from the drop-down list. Select the flashlight button to use the Patient Group Search window to search and select a group name. Note: Expired, hidden and inactive groups are not listed in the Patient Group field. Create an Encounter from the Tasks Menu

From the Tasks menu, select Create Encounter. The Patient Lookup window opens. Enter the search criteria to locate the required patient, and then select Find. The patients that match the search criteria appear in the Matching Records section at the bottom of the Patient Lookup window. From the Matching Records list, double-click a patient. The Create Encounter window opens. In the Billable Date field, enter the encounter date. The date is selected from one of the following by default and can be changed as required: The service date selected in session settings. The current system date. In the Billable Time field, enter the encounter time. The time is set to 12:00 AM by default. Note: The billable time changes to the current system time if you select the Default Enc Billable Time to System Time check box in the Encounters preference on the Practice Preferences window. In the Rendering field, select the rendering provider. In the Service Location field, select the encounter location. In

Create an Encounter from the Patient Chart

If a patient does not have an appointment but has services performed by a provider in the practice, then an encounter is required for the patient. For example, you can create an encounter from the Patient Chart for a patient seen by a provider in a hospital or nursing home. From Patient Chart, select the Encounters tab, and then select the General sub-tab. Do one of the following: In the Encounter Information section, select the open menu and then select New. In the Encounters section, right-click and then select New. The Create Encounter window opens. In the Billable Date field, enter the encounter date. The date is selected from one of the following by default and can be changed as required: The service date selected in session settings. The current system date. In the Billable Time field, enter the encounter time. The time is set to 12:00 AM by default. Search from the Encounter Lookup Window

To access the Encounter Lookup window, do one of the following: From the main toolbar, select Encounter. From the Tasks menu, select Lookup and then Encounters. The Encounter Lookup window opens. Enter details in the Search Criteria to find the desired encounters. You can use multiple parameters to search, like Bill Status, Billable Date Range, Rendering Physician, or Service Location. Select Find. Encounters that match the search criteria entered display in the Encounter List section at the bottom of the window. Total Encounter Balances displays the total outstanding balance for all encounters listed. Records Found displays the total number of encounters listed. From the Encounter List, do one of the following: Double-click to select an encounter. The Patient Chart > Encounters tab opens. The selected encounter is highlighted in the Encounters list on the left. Right-click an encounter and select Open from the menu. The Encounter Maintenance window opens.
