The
History/Non-History Status data maintenance report lists the following types of encounters:
- Encounters currently in history status that should potentially be in a non-history status because they have a non-zero balance.
- Encounters currently in a non-history status that should potentially be in history status because they have a zero balance.
Note: In versions prior to 5.9. UD1, there is a History Status report and a Non-History Status report. In version 5.9 UD1, these two reports are combined into a single History/Non-History Status report.
This report should be run at least once per month. NextGen Healthcare recommends running the report multiple times throughout the month, if needed, to ensure that all errors appearing on the report are resolved before generating financial reports for month end. Generating the report is database intensive, potentially affecting other users on the system. Therefore, it should be run after business hours.
In general, the errors listed on this report do not need to be submitted to NextGen Healthcare Client Support for resolution, since in most cases, these errors can be resolved directly from the report or from Balance Control.
To access the report in NextGen® Enterprise PM, select then select History/Non-History Status.
From the Report Filter window, select Info to view the following information about the report:
Logic:
- This report lists any encounters that are currently in History status, but should instead be in a Non-History status.
- This report lists any encounters that are currently in non- History status, but should instead be in a History status.
- Many errors on this report can be manually corrected through the report. Those errors that cannot be corrected through the report, can manually be corrected in the application.
- This report also looks for the condition where the charges are in a History status, but the encounter says a Non-History status; or, the charges are in a Bad Debt status, but the encounter is not. For example: "For encounter 12345 status A or H must have a matching charge status A or H respectively".
- This report is looking for encounters in a Billed status that have an unbilled charge that is flagged to be billed and an amount in that bucket. For example: A billed encounter with secondary insurance, has an unbilled charge in the COB2 bucket that is not flagged to be billed, but the encounter shows in a Billed status.
- Frequently, clients will use Encounter Lookup looking for Rebilled and Unbilled encounters. In the above case, this encounter would be missed.
- Encounters with an unbilled charge that are in a Billed status, should have an encounter status of Rebill, not Billed.
- This report looks for this case in all buckets. If it does find a claim already created though for that COB, it won't show the encounter on the report.
