History/Non-History Status Report Error Messages

The following error messages may appear on the History/Non-History Status report: Error Message Description Encounter in a history status with a non-zero balance and potentially should not be in history status. This occurs when the encounter is in history status, but a charge on the encounter has a non-zero balance, such as a credit. Resolution: To remove the encounter from history status, access the Balance Control window and then select OK. Encounter [nn] has a zero balance but has offsetting charge bucket values and potentially should be in a history status. This occurs when a charge on the encounter has a credit (negative) balance in one bucket and an offsetting debit (positive) balance in another bucket in Balance Control. The overall balance is $0.00, but the encounter is not in history status because of the charge with non-zero buckets. Resolution: To move the encounter to history status, do one of the following: Double-click the encounter from the report and select Correct this

History/Non-History Status Report Columns

The following columns are available on the History/Non-History Status report: Column Name Description Data Populates From Prac Name Practice Name Practice associated with the encounter. Data Maintenance Type Data Maintenance Type Displays one of the following: History Non-History Encounter Number Encounter Number Encounter number associated with the error. Error Description Error Description Description of the error. Record ID Source Number ID number for the encounter in the SQL database. Table Name Table Name Name of the table in the SQL database. For example, "patient_encounter". Filter 2 Columns can be used as a filter for data on the report. Column filter options include the following: Between Equals Not Equals Greater Than Less Than Like Sorting Columns can be used in the sorting and grouping of data on the report. Column sorting options include the following: Ascending Descending Group By Page Break Note: Columns that are not available for Group By or Page Break are indicated by

History/Non-History Status Report

The History/Non-History Status data maintenance report lists the following types of encounters: Encounters currently in history status that should potentially be in a non-history status because they have a non-zero balance. Encounters currently in a non-history status that should potentially be in history status because they have a zero balance. Note: In versions prior to 5.9. UD1, there is a History Status report and a Non-History Status report. In version 5.9 UD1, these two reports are combined into a single History/Non-History Status report. This report should be run at least once per month. NextGen Healthcare recommends running the report multiple times throughout the month, if needed, to ensure that all errors appearing on the report are resolved before generating financial reports for month end. Correct an Error from the Report

Generate the History/Non-History Status report . From the report, hover over the desired encounter to access the "drill-down" cursor. Double-click the encounter. The Data Integrity - History/Non-History window opens. Select one of the following Data Integrity Options: Correct just this error: Select this option to automatically correct the error for the selected encounter only. Correct all instances of this error: Select this option to automatically correct errors for all encounters on the report that have the same error. Correct all fixable errors (Total Count [n]): Select this option to automatically correct errors for all encounters on the report that have any fixable error. To continue, select Correct. The Non-Coordinated SIM Library Listing report includes information from the Non-Coordinated SIM Library in File Maintenance. Information on the report pulls from the Non-Coordinated Service Item Library Maintenance window. System Reports

The System reports category includes various reports that you can use to review and validate specific types of data stored within the database. These reports check for a variety of data conditions that may potentially cause erroneous results on other reports generated in NextGen® Enterprise PM. When each system report is run, no data or a blank report is ideal. A blank report indicates there are no data validation and maintenance issues. Note: All system reports should be run at least once per month. You should run them prior to generating your month end reports so that any data validation and maintenance issues can be identified and resolved before your monthly reports are printed.
