Managing Optical Batches

Users in NextGen® Optical Management can create batch header records to handle transactions related to optical orders. You can view and work with these optical batches within NextGen® Enterprise PM by selecting the Show Optical batches check box in the Batch Posting window. You can also create an optical batch within NextGen® Enterprise PM by selecting the Optical Batch check box in the Batch Maintenance window. Parent topic: Managing Batches

Create an Enterprise Batch Grouping

You can create transaction batch grouping using Enterprise Batch Grouping feature in NextGen® Enterprise PM. streamline transaction entry and batch balancing by using enterprise batch grouping. Enterprise batch groups are comprised of transaction batches from multiple practices within an enterprise. They enable users to enter, balance, and post transactions from multiple practices. In the Batch Posting window, you can create a batch grouping by selecting which practices the application creates transaction batches for. Open NextGen® Enterprise PM. On the main toolbar, select Posting . The Batch Posting window opens. Select open menu icon, select New, and then select Enterprise Batch Grouping. The Enterprise Batch Grouping Maintenance window opens. Enter the enterprise batch grouping description, and the date fields. In the Practice section, select the practices to include in the batch grouping. To subgroup the transactions into an appropriate category, select the value from Transaction

Setting Batch Security

You can secure a batches to a specific users in practices where the payments till is being shared or there are multiple users adding transactions to a given batch. NextGen® Enterprise PM allows practices to secure a batch to a single user to prevent any incorrect transactions from being added to the batch. You can secure a batch in the Batch Maintenance window using any of the following: Set batch security to a single batch or multiple batches at the batch header level. Set batch security to a single batch in a batch group without multiple batches. Set the batch security to define if the batch can be changed in any way. Print a Batch

You can print the batch record to see a list of recorded transactions. The header record does not need to be balanced before the Batch Listing report can be run. Open NextGen® Enterprise PM. On the main toolbar, select Posting . The Batch Posting window opens. In the Existing Batches section, select the header batch that you want to print. Select the header record you want to print. Select the open menu icon, and then select Print > Batch Listing. The Batch Listing report preview appears. Parent topic: Managing Batches

Balance the Batch Header Record

After entering all the transactions, you must balance the batch header record before posting the batch to the accounts receivable record. Open NextGen® Enterprise PM. On the main toolbar, select Posting . The Batch Posting window opens. Select a batch, select the open menu icon, and then select Ledger. The Transaction Ledger window opens. Select Header. The Batch Maintenance window opens. Compare the amount in Total Billed, Total Allowed, and Total Paid of the Batch Maintenance window to the Transaction Ledger window. If the amounts do not match, change the amounts as necessary. CAUTION: Every batch item entered will have a corresponding billed amount is entered. If you have a charge of $25.00 and you receive two separate checks to apply to the charge, the charge shows on the ledger twice. The billed amount for the two checks is $50.00, not $25.00.
