Components of the Account Lookup Window

Search Criteria	Description
Lookup By	Searches for an account using one of the following: Account Budget Encounter Invoice Statement
Employer/Last Name	Searches by the employer or last name on the account.
First Name	Searches by the first name on the account.
People Account	Searches only people accounts.
Employer Account	Searches only employer accounts.
Account Number/ Encounter Number / Invoice Number/	Searches by the following: Account Number- If the Account, Statement, or Budget option is selected in Lookup By. Encounter Number- If Encounter is selected in Lookup By. Invoice Number- If Invoice is selected in Lookup By.
Social Security	Searches by the patient's Social Security Number.
Birth Date	Searches by the patient's date of birth.
Existing Accounts Only	Searches only existing accounts.

Employer Accounts Overview

You can create an employer account when the employer is selected as the guarantor on a patient’s encounter for the first time. You can also generate statements for the employer’s account that include encounters with outstanding self-pay balances. A guarantor can have only one account applicable for one or more patients, each with one or more encounters. For example, an employer is a guarantor on several encounters for the employees who are seen for pre-employment physicals or drug screens. An employer account can also be manually created for an employer that billed by invoice. For example, the practice may participate in a flu shot clinic conducted at an employer’s facility and that employer is billed by invoice for the flu injections provided to their employees. NextGen® Enterprise PM assigns each account a unique account number that you can find on the employer's Account Profile window. Search for Accounts

Open NextGen® Enterprise PM. From the Task Menu menu, select Lookup > Accounts. The Account Lookup window opens. To search for an account, enter the search criteria data, and then select Find. Person Accounts Overview

A person account is automatically created when the person is selected as the guarantor on a patient’s encounter for the first time, which results in statements generated for the person’s account that include encounters with outstanding self-pay balances. NextGen® Enterprise PM assigns each account a unique account number on the person's Account Profile window. The account number is also printed on statements sent to the guarantor. Components of the Patient Lookup Window

The following table describe the person or patient search criteria fields on the People Lookup window. Search Criteria Description Last, First / Preferred, Middle, Suffix Searches by the patient's name. You can enter the last name, first name (or preferred name), middle name, suffix, or any combination of a patient's name. Note: The Suffix field appears if the Include suffix on lookup screens check box is selected on the General tab of the Practice Preferences and the Name Suffix table is populated in File Maintenance > Master Lists. Previous Last Searches by the previous last name if the patient's last name has changed. City Searches by the city of residence. Address Line 1 Searches by the patient's street address. Set up Statement and Collection Information for Accounts

The demographics information appears by default when you open the Properties tab under the Account Profile window for an employer account. Open NextGen® Enterprise PM. From the Tasks menu, select Lookup > Accounts. The Account Lookup window opens. To search for a person account, enter the search criteria data, and then select Find. You can use different combinations of the search criteria to search for a person's account. Accounts that match the search criteria appear in the Account List section. Double-click a person account. The account profile for the account appears. The Properties tab becomes available and displays the current demographic information for the account. Create an Employer Account from Employer Lookup

Before you begin For statement or invoice billing, you must create the employer in the Employers master file in File Maintenance. The application automatically creates an employer account when the employer is selected as the guarantor on a patient encounter for the first time. However, you can manually create an employer account so you can select that employer as the guarantor on a patient encounter. Open NextGen® Enterprise PM. From the menu, select Tasks > Lookup > Employers. In Employer Lookup, enter your search criteria, and then select Find. In Matching Records, right-click an employer, and then select Open. In the Employer Maintenance window, verify and, if needed, update demographics, billing address, and contact information.
