Components of Encounter Information

The following table describes the fields that appear in the Encounter Information section when you select an encounter from the Encounters section:

Encounter NbrDisplays the system-assigned encounter number.
Encounter DateDisplays the Billable Date entered for the encounter on the Encounter Maintenance window.
Encounter StatusDisplays the current status of the encounter. An encounter can have any of the following status:
  • Unbilled
  • Billed
  • Rebill
  • In Progress
  • Bad Debt
  • History
First Bill DateDisplays the date when the encounter first went through the billing process in NextGen® Enterprise PM.
Last Bill DateDisplays the date when the encounter last went through the billing process in NextGen® Enterprise PM.
Patient TypeDisplays the patient type specified for the encounter on the General tab of the Encounter Maintenance window.
Occurrence CodeDisplays the occurrence code selected for the encounter in the Encounter Maintenance window.
Onset DateDisplays the date of onset entered for the encounter in the Encounter Maintenance window.
Admit DateDisplays the date of admission for the encounter on the General tab of the Encounter Maintenance window.
Discharge DateDisplays the date of discharge entered on the General tab of the Encounter Maintenance window.
FacilityDisplays the facility selected for the encounter on the General tab of the Encounter Maintenance window.
Print Stmt IndDisplays Yes if the Print Encounter On Statements check box is selected for the encounter on the General tab of the Encounter Maintenance window.
Last Stmt DateDisplays the last date the encounter was included in a statement.
Stmt CounterDisplays the number of times the encounter was included in a statement.
Pat Resp DateDisplays the patient responsibility date assigned to the encounter when all remaining charge balances were settled to the Pat Amt (patient amount) bucket in the Balance Control window.

The date is not assigned to an encounter unless the Ins1 Amt, Ins2 Amt, and Ins3 Amt (insurance amount) buckets are all $0.00 in the Balance Control window.

Rental Ind

Displays Yes if the Rental check box is selected for the encounter on the Billing & Collections tab of the Encounter Maintenance window.

This field appears only if the Enable Recurring Rental Billing check box is selected on the Encounters tab of the Practice Preferences window.

Pending ApprovalDisplays Yes if the encounter is associated to an Encounter Changes task type and the task is pending approval.

Displays No if the encounter is not associated to an Encounter Changes task type, or if the Encounter Changes task has been approved and is no longer pending.

Encounter User-Defined Fields 1 - 4 Displays the free-text information entered in each field for the encounter on the General tab of the Encounter Maintenance window.
Program

Displays the program selected for the encounter on the General tab of the Encounter Maintenance window.

Pre-Listed
Displays the following information in red color if the encounter has been pre-listed for bad debt:
  • Collection Agency: The name of the agency selected when the encounter was pre-listed for bad debt.
  • Effective Date: The date entered when the encounter was pre-listed for bad debt.
  • Credit Rating: The credit rating selected for the encounter guarantor on the Properties tab of the Account Profile window.
  • Bad Debt Status: The status selected when the encounter was pre-listed for bad debt.

Displays No if the encounter has not been pre-listed for bad debt.

Sensitive EncDisplays Yes in red color and bold formatting if the encounter has been marked as sensitive in NextGen® Enterprise EHR.
