Print or Export Batch Encounter Collection Letters

You can generate Encounter Collection Letters in batch for all guarantors that have a Collection Letter selected on the Billing & Collections tab of the Encounter Maintenance window. NextGen® Enterprise PM. Select File > Print Forms > Letters > Encounter Collection Letters. The Batch Encounter Collection Letters window opens. Enter the desired search criteria to print the selected letters or leave the search criteria blank to print all encounters with letters in the queue. Select Find. Encounters with letters in the queue display in the Collection Letters section. All encounters displayed are selected for printing in the column on the left. If you do not want to print some letters at this time, clear those encounters. The Update Letter Dates check box is already selected in the lower left section of the window and update the Last Letter Date field on the Chart Details sub-tab of Patient Chart > Patient Information tab, for each patient in the batch. Print or Export an Individual Encounter Collection Letter

An individual Demand Encounter collection letter is generated for a guarantor from the Patient Chart, Encounters tab. Open NextGen® Enterprise PM. Select Chart. The Patient Lookup window opens. Enter search criteria to locate the desired patient. Select Find. All existing persons and patients that match the search criteria are displayed in the Matching Records section. In the Matching Records list, double-click the patient. The Patient Chart window opens. Select the Encounters tab, and then open the desired encounter from the Encounters list. Do one of the following: From the main toolbar, select the Letters button. From the Tasks menu, select Demand, and then Demand Letter. The Demand Letters window opens. Right-click the desired encounter letter and select one of the following from the menu: To preview the letter on the window, select Preview. To print the letter, select Print. Print or Export Individual Account Collection Letters

You can generate an individual Demand Account collection letter for a guarantor using the Account Profile window. Open NextGen® Enterprise PM. Select Account. The Account Lookup window opens. Enter search criteria to locate the desired account. Select Find. All existing accounts that match the search criteria is displayed in the Account List section of the window. In the Account List, double-click to open the account. The Account Profile window opens. Do one of the following: On the NextGen® Enterprise PM toolbar, select Letters. From the Tasks menu, select Demand, and then Demand Letter. The Demand Letters window opens. Right-click the desired account letter and select one of the following. To preview the letter, select Preview. To print the letter, select Print. Note: The letter is sent to the printer defined in Practice Preferences > Printing > Collection Letters. Create an Archived Collection Letter

Open NextGen® Enterprise PM. To create an archived collection letters, do one of the following: Print or Export Individual Account Collection Letters. Print or Export Batch Account Collection Letters. Print or Export the Individual Encounter Collection Letter. Print or Export Batch Encounter Collection Letters. Print or Export the desired collection letter. A confirmation message appears stating to confirm that the letters are printed or exported correctly. Do one of the following: If the letters are printed or exported correctly, select Yes. An image of each account collection letter is now archived in the guarantor’s Account Profile, on the Notes tab, in the Letters folder. An image of each encounter collection letter is now archived in the Patient Chart, on the Clinical History/Notes tab, in the Letters folder. View an Archived Account Collection Letter

Open NextGen® Enterprise PM. Select Account. The Account Lookup window opens. Enter search criteria to locate the desired account. Select Find. All existing accounts that match the search criteria display in the Account List section. Select Account List, and then double-click the account. The Account Profile window opens for the desired guarantor. Select Notes. In the Folders list, expand the Letters folder, and then select the Demand Account folder. The section on the right displays the Date/Time, Creator, Letter Name, and Description for each archived account collection letter. Select the desired letter, and then double-click to open the letter. The Letter Preview window opens. Note: You cannot print archived letters. Therefore, the Print Dialog and Quick Print fields are not available on the Letter Preview toolbar. When finished viewing, select Close Preview on the toolbar. Display the Date/Time, Creator, Letter Name, and Description fields for each archived encounter collection letter. Select the desired letter, and then double-click to open the letter. The Letter Preview window opens. Note: You cannot print archived letters. Therefore, the Print Dialog and Quick Print fields are not available on the Letter Preview toolbar.
