Set up for Archived Collection Letters
To archive Account Collection or Encounter Collection letters, do the following:
Open
NextGen® Enterprise PM
.
From the
Admin
menu, select
Preferences
, and then
Enterprise
.
The
Enterprise Preferences
window opens.
Select the
General
tab.
Select
Demand Account
and
Demand Encounter
from the
Archive Letters
list
Select
OK
.

View an Archived Encounter Collection Letter
Open NextGen® Enterprise PM. Select Chart. The Patient Lookup window opens. Enter search criteria to search the desired patient. Select Find. All existing persons and patients that match the search criteria appear in the Matching Records section. In the Matching Records list, double-click to open the patient. The Patient Chart window opens. Select the Clinical History/Notes tab. Select the Demand Encounter folder. Display the Date/Time, Creator, Letter Name, and Description fields for each archived encounter collection letter. Select the desired letter, and then double-click to open the letter. The Letter Preview window opens. Note: You cannot print archived letters. Therefore, the Print Dialog and Quick Print fields are not available on the Letter Preview toolbar. View an Archived Account Collection Letter
Open NextGen® Enterprise PM. Select Account. The Account Lookup window opens. Enter search criteria to locate the desired account. Select Find. All existing accounts that match the search criteria display in the Account List section. Select Account List, and then double-click the account. The Account Profile window opens for the desired guarantor. Select Notes. In the Folders list, expand the Letters folder, and then select the Demand Account folder. The section on the right displays the Date/Time, Creator, Letter Name, and Description for each archived account collection letter. Select the desired letter, and then double-click to open the letter. The Letter Preview window opens. Note: You cannot print archived letters. Therefore, the Print Dialog and Quick Print fields are not available on the Letter Preview toolbar. When finished viewing, select Close Preview on the toolbar. Create an Archived Collection Letter
Open NextGen® Enterprise PM. To create an archived collection letters, do one of the following: Print or Export Individual Account Collection Letters. Print or Export Batch Account Collection Letters. Print or Export the Individual Encounter Collection Letter. Print or Export Batch Encounter Collection Letters. Print or Export the desired collection letter. A confirmation message appears stating to confirm that the letters are printed or exported correctly. Do one of the following: If the letters are printed or exported correctly, select Yes. An image of each account collection letter is now archived in the guarantor’s Account Profile, on the Notes tab, in the Letters folder. An image of each encounter collection letter is now archived in the Patient Chart, on the Clinical History/Notes tab, in the Letters folder. Archiving Collection Letters
You can archive collection letters when they are printed or exported so that you can store an image of a letter and it is available for viewing in the guarantor’s Account Profile (demand account letters) or the Patient Chart (demand encounter letters). When the collection letter is archived, you can view or reprint the image, but you cannot delete it. Set Up for Archived Budget Letters
To archive budget letters, do the following: Open NextGen® Enterprise PM. From the Admin menu, select Preferences, and then Enterprise. The Enterprise Preferences window opens. Setup for Archived Recall Letters
To setup for archiving Recall Letters, do the following: Access NextGen® Enterprise PM. From the Admin menu, select Preferences, and then Enterprise. The Enterprise Preferences window opens. Select the General tab. In the Archive Letters field, select the Recall check box. To save changes and close the window, select OK. Parent topic: Archiving Recall Letters
