In File Maintenance, select
Libraries

Tax Exemptions

The
Tax Exemption List
window opens.
Select open menu button , and then select
New
.
The
Tax Exemption Library
window opens.
Select the
Location
tab, and then define which sales tax charges are exempt for the listed SIM codes.
In the
Tax Exempt SIMs
section, select open menu button , and then select
New
to search for a SIM.
The
Tax Exempt SIMs Setup
window opens.
In the
Service Item #
field, select a SIM code that you want to specify sales tax exemptions for.
The associated CPT4 code and description automatically display in the
CPT4 Code
and
Description
fields.
Enter dates in the
Effective Date
and
Expiration Date
fields.
Select one or more locations where the SIM has sales tax exemptions.
Select in the field below each
Tax Exempt
field to select which sales taxes the SIM is exempt from.
A displays in the field to indicate that the tax does not apply.
Select
Next
to select another SIM and repeat the previous steps or select
OK
to return to the
Tax Exemption Library
window.
The
Tax Exemption Library
window updates with new rows in the
Tax Exempt SIMs
section.
On the
Tax Exemption Library
window, select
OK
.

Tax Exemption Library
Use the Tax Exemption library to define the following: Tax exemption status for each financial class and SIM for each applicable state Which sales taxes apply for specific SIMs within different locations You can create up to four sales tax exemptions for each location. The four exemptions correspond to the Tax Rate Percent fields you can set up in the Tax Rate library. The system will exempt taxes that are selected for exemption regardless of the number of taxes that set for the location. For example, if 3 taxes are exempted for a location but locality tax only has 2 total taxes to be generated, the 3 taxes slated to be exempt will remain exempt. Set Up Tax Rates
In the CPT4 Codes master file, define a CPT4 code to use as a tax line item charge. For example, you could define procedures for state sales tax, city sales tax, country sales tax, and local sales tax. You must define codes to use as tax charges for the default Tax Rate library. Note: You will need to create SIM codes for each level of sales tax, such as state, country, local, that could apply. Five levels of locality tax rates are as follows: State Tax % County Tax % City Tax % City Local Tax % County Local Tax % If necessary, define codes to use as tax charges for specific locations that will not use the default Tax Rate library (for example, locations within states that apply tax rates according to unique tax rules for that location). In the Service Items library that will be used when charges are posted for the practice, create a new SIM if necessary (or select an existing one) and attach the tax rate CPT4 code from step 1 to the SIM in the CPT4 Code field. Set Up a New SIM Exception
In File Maintenance, select Libraries menu > Service Items. The Service Item Libraries window opens. Select a Service Item Library. Select Open Menu. Select SIM Exceptions from the shortcut menu. The SIM Exceptions List window opens. Select open menu button , and then select New. The SIM Exception Maintenance window opens. Complete the window by entering the exception information. For descriptions of the fields, see SIM Exception Setup Field Descriptions. Note: The SIM Exception fields in which you enter the exceptions are located in the spreadsheet section of the dialog box. Use the TAB key or arrow keys to move the insertion point to the applicable cell for your entry. Right-click on a cell to display the shortcut menu, then you can delete an entry by the cell or row. If your library has fewer than 50 SIM items, press the TAB key or arrow keys to move to the next SIM item that you want to enter an exception for. Configure SIM Library
Open a SIM Pricing Template library. In the SIM Library Configurations section, select open menu button and then select New. The SIM Library Configuration Maintenance window opens. In the SIM Library Configuration Name field, enter a name for the configuration. Select Open Folder to select the SIM libraries you want to apply the configuration to Include/Exclude steps. If you want the SIM Library Configuration to be included in the SIM Pricing Template BBP - Auto Update job in the NextGen BBP application, select the Send to BBP check box. If you want the update to insert new service items to a library when they do not currently exist, select the Add items from SIM Pricing Template to SIM libraries if they do not exist check box. New rows will be added. If the check box is cleared, existing service items will be updated and no new items will be added. In the Filter Criteria section, enter attributes that limit which SIMs that File Maintenance updates. All SIMs that meet the requirements

Add SIM Items to a SIM Library
After you have created a SIM library, you need to add service items and pricing information to the library. Select File Maintenance > Libraries > Service Items. From the Service Items List window, select the library to update. The Service Item Library Maintenance window opens. Select the open menu and select New. The three service item fields turn red. In the CPT4 Code field, enter a CPT4® code from your list of service items and then select Enter. The details for that CPT4® Code appears. In the General tab, do the following: In Eff Date, enter the effective date. In Exp. Date, enter the expiration date. In Non-Facility Price, enter the non-facility price in dollars. In Facility Price, enter the facility price in dollars. If you have more items to add, select Enter and repeat steps 4 to 6 for all service items you wish to add.
