Setting Up the Inventory Adjustment Reason

Use the Inventory Adjustment Reason master file to specify the reason for an adjustment to inventory in the NextGen® Optical Management application. When building this master file, you must consider not only why the change in inventory is occurring, but also whether it is a write off, return, or transfer. From the Master Files - Optical Management list, select Inventory Adjustment Reason. The Inventory Adjustment Reason List window opens. From the list, do one of the following: To add a new item, select Open Menu and then select New. To modify an item, select the item in the list, select Open Menu, and then select Open. The Inventory Adjustment Reason window opens. Enter a short description explaining the reason for the adjustment in the Description field. In the Type of Adjustment field, select one of the following types of adjustment: Inventory Return Inventory Write Off Inventory Transfer Enter any additional information in the Note field. Remake Accountability

Use the Remake Accountability master file to set up a list of people/entities responsible for a contact or eyeglass remake order. To add or modify a remake accountability party: From the Master Files - Optical Management list, select Remake Accountability. The Remake Accountability List window opens. From the list, do one of the following: To add a new item, select the Open Menu button and then select New. To modify an item, select the item in the list, select the Open Menu button, and then select Open. Note: Select the Include Hidden Items check box to include hidden items in the master file list. If you do not select this box, the items do not appear in the list and they cannot be accessed. The Remake Accountability window opens. Enter the information for remake accountability according to the following table. Field Description Description Enter the name of the party responsibility for the remake order. Some examples include: physician, lab, optician, patient, shipper, and vendor. Th

Medication Reasons

NextGen® Enterprise EHR uses the Medication Reasons master file as a repository for the reasons that a medication is being prescribed in the Medications Module. This reason becomes part of the Sig for the prescribed medication. File Maintenance includes a default list of reasons, but you can add custom reasons. To add a medication reason: From the Master Files > System, select Medication Reasons. The Medications Reasons List window opens. From the list, do one of the following: To add a new item, select Open Menu , and then select New. To modify an item, select the item in the list, select Open Menu , and then select Open. In the Add/Modify Medication Reasons Information window, enter the name of the reason in the Medication Reason Description field and, if necessary, enter a Note. For the reasons that were installed by default, the Note field displays the text System Generated. Configure Optical Vendors

The Vendors master file enables you to create a list of manufacturers used in NextGen® Optical Management. CAUTION: You must set up the Vendors master file before creating a brand in the Brand master file. Open File Maintenance and select Master Files > Optical Management and select Vendors. The Vendors List window opens. To include the hidden items in the master file list, select the Include Hidden Items check box . From the vendors list, do one of the following: To add a new vendor, select the open menu button and select New. To modify an existing vendor, double-click the item to open it. The Optical Vendor window opens. On the Vendor Detail tab, enter the vendor information in the respective fields. Note: To hide the vendor in the vendors list, select the Hide check box. On the External tab, do one of the following: To add a new item, select the open menu button and select New. To modify an existing item, double-click the item to open it.
