Recall Plans Window Field Descriptions

You can use the fields described in the following table to configure your recall plan.

Recall PlanEnter a name for the recall plan.
Patient expected to return in…
  • Enter the number of days in which the patient is expected to return by using the arrows.
  • Select the recall period from the list. You can choose Day(s), Week(s), Month(s), or Year(s).
Default EventSelect the default event that is specific to the recall plan. This information will be the default event in the Recall Plan Maintenance window.
Default ResourceSelect the default resource that is specific to the recall plan. This information will be the default resource in the Recall Plan Maintenance window.
Default LocationSelect the default location that is specific to the recall plan. This information will be the default location in the Recall Plan Maintenance window.
Allow OverrideSelect this check box to allow users to override the default information that was selected for the Default Event, Default Resource, and Default Location fields.
Which appointment status should discontinue participation in this plan?Select one of the following appointment statuses to end a patient's participation in the plan: Kept, Scheduled, or None.
Mailing InformationThis tab contains the settings that specify how the recall notifications are sent to patients.

Enable recall notifications to be sent via NextMD – Select this check box to send paper and electronic copies of the selected recall letters to NextMD patients who are assigned to this recall plan. The electronic copy is sent to the patient's NextMD inbox. Non-NextMD patients only receive paper copies. This check box displays only when the practice has rendering providers who are licensed to use NextMD. See the NextMD guides for more information about recall notification setup for NextMD.

Recall Letters – Select the name of the letter to send. You can send up to three letters.

days prior – To the right of the Recall Letters field, use the up and down arrows to select the number of days after the recall has been set up that the letter should be generated. The recall letter days must be in descending order. An error message is generated if they are not.

For example, if the value in Patient expected to return in field is 60 days and the first recall message is set for 45 days prior to it, the first message is sent 45 days before the end of 60 days, or 15 days into the plan.

Also, the recall letter days must be less than the Expected to Return Days. You can enter any number of days in the fields, not just increments of five.

Mailing Labels – If mailing labels are to be generated instead or in addition to the letter, then select the Mailing Labels check box. This field works in conjunction with the days prior field.

In the Generate Tasks fields, you can specify the tasks that need to be generated in addition to the recall letters. Only the tasks with a chart source type are listed in these fields.

Messaging InformationThis tab contains settings to specify how to send recall messages to patients. You can send up to three messages.

In the Send 1st, Send 2nd, and Send 3rd fields, you can specify when the message must be generated and sent to the patient. The number of days you can specify in these three fields must be less than the number of days in the Patient expected to return in field. The number of days in the three fields must be in descending order.

In the Generate Tasks fields, you can specify the tasks that need to be generated in addition to the recall message. Only the tasks with a chart source type are listed in these fields.
