Set Security Rights for In-Progress Billing Status

The security rights associated with the In Progress billing status allows you to control the following user rights: Set new encounters to In Progress status. Change the In Progress status of encounters. Recalculate charges in In Progress encounters. Open System Administrator, and then select the enterprise and user. Select Rights > Operations > Encounters. Select access rights for the following: In Progress Indicator on New Encounter – Allows users to manually set the status on new encounters to In Progress in the Create Encounter window. Convert In Progress Batch Process – Allows users to change the status of multiple encounters from In Progress to Unbilled. Users can right-click encounters in the Encounter Lookup window and then select Convert in Progress to Unbilled. Convert In Progress Demand Process – Allows users to change the encounter status from In Progress to Unbilled. Exclude In Progress Encounters from Auto Create Actions

Auto creation actions can exclude encounters that have a specified billing status when NextGen® Enterprise PM calculates totals and creates the tasks. Open the Task Types master file, and then select a task type that has Account as the Source Type. In the Exclude encounter status for applicable auto create actions field, select In Progress. Setting Up In-Progress Encounter Billing

The In Progress encounter status represents work or care that has not been completed and, therefore, is not listed in the accounts receivables. For example, you could use the status to represent orthotic or prosthetic devices for ongoing use or for prepaid patient care not yet administered. When NextGen® Enterprise PM users enter charges and transactions for an encounter in progress, those items contain blank process dates and, therefore, cannot officially be included in the financials or the receivables. After a user creates an encounter with an in-progress status, a designated process can change the status from In Progress to Unbilled, which is the normal status for an encounter that has yet to go through billing and produce a claim. When the status changes to Unbilled, all charges and transactions entered for the In Progress encounter become posted, and the system sets the processing and closing dates on the transactions and charges. Setting the Default Status of New Encounters to In Progress

Depending on your kind of practice, you might prefer that all new encounters are created with the In Progress status set by default instead of users manually setting the status. Then, whenever a user creates an encounter, the In Progress check box will be automatically selected on the Create Encounter window. Users cannot clear the In Progress check box unless they change the selection in the Encounter Types field to only Billable. Some encounters, such as point-of-sale, do not require an In Progress status. By changing the encounter type to Billable, the front office can then enter charges for the encounter. Because point-of-sale encounters are NextGen® Enterprise PM-only, setting the encounter type to Billable prevents the point-of-sale encounter from displaying in the NextGen® Enterprise EHR. Defaulting New Encounters to In Progress Status based on Program

If your practice uses In Progress Billing in NextGen® Enterprise PM, you can enable functionality to automatically default new encounters to In Progress status based on program. If the Default all new encounters to In Progress option is enabled in Practice Preferences > Encounters and specific programs are defined in the Limit to Valid Programs field, the In Progress check box on the Create Encounter window gets checked automatically when one of those programs is selected in the Program field.
