Working with Programs in NextGen® Enterprise PM

When Programs are enabled for a practice, you can utilize the following functionality in NextGen® Enterprise PM: Enroll a patient in a program in the Patient Chart from Programs sub-tab under Patient Information tab . Link a patient's encounter to a program from the Create Encounter or General tab on the Encounter Maintenance window. Display a warning message when an encounter does not meet program-specific requirements. Default new encounters to In Progress status when they are created and linked to a specific program. View the program linked to a patient's encounter in the Patient Chart from the General sub-tab under the Encounters tab . Display warning messages on the Charge Posting window when a charge does not meet program-specific requirements. Default New Encounters to In Progress Status

When the Enable In Progress billing status option is enabled in Practice Preferences > Encounters, you can enable additional options to ensure that new encounters created in the practice automatically default to In Progress status. Access NextGen® Enterprise PM. From the Admin menu, select Preferences, and then Practice. The Practice Preferences window opens. From the Preferences List, select Encounters. Enable In Progress Billing. CAUTION: Once In Progress Billing has been enabled, it cannot be disabled. It should only be enabled when needed. To default all new encounters created in the practice to In Progress status, select the Default all new encounters to In Progress check box. Practice Preferences for Programs

To use Programs in NextGen® Enterprise PM, you must first enable programs for the practice in Practice Preferences. When enabled, the following program-related functionality is available: On the Patient Information tab in the Patient Chart, a Programs sub-tab appears. From this sub-tab, you can enroll a patient in one or more programs. On the Encounter Maintenance window, a Program field appears on the General tab. From this field, you can link an encounter to a program. On the Encounters tab in the Patient Chart, the Program name displays for encounters linked to a program under the General sub-tab. If your practice uses In Progress Billing, you can enable the Limit to Valid Programs option in Practice Preferences to ensure new encounters created in NextGen® Enterprise PM that are linked to a specific program automatically default to In Progress status. For example, you can default new encounters linked to Program ABC to In Progress status, so they are held from the billing and claims

Setting the Default Status of New Encounters to In Progress

Depending on your kind of practice, you might prefer that all new encounters are created with the In Progress status set by default instead of users manually setting the status. Then, whenever a user creates an encounter, the In Progress check box will be automatically selected on the Create Encounter window. Users cannot clear the In Progress check box unless they change the selection in the Encounter Types field to only Billable. Some encounters, such as point-of-sale, do not require an In Progress status. By changing the encounter type to Billable, the front office can then enter charges for the encounter. Because point-of-sale encounters are NextGen® Enterprise PM-only, setting the encounter type to Billable prevents the point-of-sale encounter from displaying in the NextGen® Enterprise EHR. Enable In Progress Billing Status

When the In Progress billing status is enabled, the status and all related features become available in NextGen® Enterprise EHR and NextGen® Enterprise PM. Note: Once you turn this feature on, you cannot turn it off. In the Encounters Practice Preferences, select the Enable In Progress billing status check box. A message displays so you can confirm that you want to enable the billing status. Select OK.
