Exclude In Progress Encounters from Auto Create Actions
Auto creation actions can exclude encounters that have a specified billing status when NextGen® Enterprise PM calculates totals and creates the tasks.

Depending on your kind of practice, you might prefer that all new encounters are created with the In Progress status set by default instead of users manually setting the status. Then, whenever a user creates an encounter, the In Progress check box will be automatically selected on the Create Encounter window. Users cannot clear the In Progress check box unless they change the selection in the Encounter Types field to only Billable. Some encounters, such as point-of-sale, do not require an In Progress status. By changing the encounter type to Billable, the front office can then enter charges for the encounter. Because point-of-sale encounters are NextGen® Enterprise PM-only, setting the encounter type to Billable prevents the point-of-sale encounter from displaying in the NextGen® Enterprise EHR. You can set the new encounter status default to In Progress in the Encounters Practice Preferences, select the Enable In Progress billing status check box, and then select the Default all new eSetting the Default Status of New Encounters to In Progress

When the In Progress billing status is enabled, the status and all related features become available in NextGen® Enterprise EHR and NextGen® Enterprise PM. Note: Once you turn this feature on, you cannot turn it off. In the Encounters Practice Preferences, select the Enable In Progress billing status check box. A message displays so you can confirm that you want to enable the billing status. Select OK. In Progress encounters, by default, appear on statements. If an In Progress encounter is excluded from them, it does not appear on any statements until the encounter status converts to an Unbilled status. You can omit encounters with In Progress status from Statements in the Statements Practice Preferences, select the Exclude In Progress encounters from statements check box. The check box displays only if the Enable In Progress billing status check box is enabled in the Encounters Practice Preferences. You can make sure that In Progress encounters are omitted from budget plans. If omitted, an In Progress encounter does not appear on a budget payment plan until the encounter status converts to an Unbilled status. To omit encounters with In Progress status from budget plans in the Budget Accounts Practice Preferences, select the Omit In Progress encounters from budget plans check box. To allow NextGen® Enterprise PM users to change the In Progress status of an encounter, you must display the Convert In Progress check box on the Create Encounter and Encounter Maintenance windows. The check box is a mechanism that, when it is not selected, prevents In Progress encounters from converting to Unbilled. Once the Convert In Progress check box is selected, the system releases a hold on the encounter and allows the encounter to be converted to Unbilled in NextGen® Enterprise PM. Only users with the appropriate security right can select the Convert In Progress check box either: manually on the Create Encounter and Encounter Maintenance windows. by using a template field with a convert-in-progress indicator in NextGen® Enterprise EHR. The In Progress encounter status represents work or care that has not been completed and, therefore, would not be stated in the accounts receivables. For example, you could use the status to represent orthotic or prosthetic devices that are not yet completed or for pre-paid patient care that is not yet administered. When NextGen® Enterprise PM users enter charges and transactions for an In Progress encounter, those items will contain blank process dates and, therefore, cannot officially be included in the financials and cannot be part of the receivables. After a user creates an encounter in an In Progress status, a process can change the status from In Progress to Unbilled, which is the normal status for an encounter that has yet to go through billing and produce a claim. When the status changes to Unbilled, all charges and transactions entered for the In Progress encounter become posted and the system sets the processing and closing dates on the transactions and charges.
