Configure Scan Templates

You can create templates with pre-configured TWAIN settings that you can apply to a batch when you scan documents. The template adjusts the TWAIN interface settings that control the scanner. Open File Maintenance. Under System in Master Files, select Document Management, and then select Scan Templates. The Scan Templates List window opens. Select the open menu button, and then select New. The Scan Control window opens. Enter a short description that indicates the type of scanning template you want to create. Select the number of dots per inch (DPI) to apply to the scanned images. Note: Higher resolutions slow down the scanning process and increase the size of scanned images. Select the color mode to apply to the scanned images. You can select Gray Scale to reduce image size and increase scanned image quality. Manage Access Rights for Scanning Templates

For each security group in System Administrator, you can manage their access rights related to the Scan Templates module rights. Open System Administrator. Select a user group, and then select the Rights tab. Expand MODULES, and then expand File Maintenance. Configure NextGen® Document Management

Before using NextGen® Document Management, you must complete the following actions that can be performed in any order: Connect a scanner or an image acquisition device to a computer with the TWAIN driver installed. Configure NextGen® Document Management security rights in System Administrator. Set up the archive location for all images and documents by doing one of the following: If you are licensed to use remote scanning, set up the Imaging Archive Location folder on your network. If you are not licensed to use remote scanning, set up the Network Share Location folder on your network. Note: You must provide full access rights (read, modify, add, and delete) to users for these folders. Configure network impersonation. Create an organization structure for the documents and images. You can set up document fields, document types, and view categories for the organization structure. Connect a Scanner

You can use NextGen® Document Management with any TWAIN-compliant scanner or imaging device. Note: NextGen® Document Management does not support network-based scanners or scanners that save images on network drives instead of on the local disk. If you use a network-based scanner, you must save images in the TIFF (.tif) format. Install the TWAIN driver for the scanner or an imaging device on the computer where NextGen® Document Management is installed. Note: You can download the TWAIN driver from the scanner manufacturer's website. Connect a cable from the scanner to a USB, SCSI, or parallel port on the NextGen® Document Management computer. Note: You must use the fastest connection to connect the scanner to the computer. With a faster connection, you can scan large images such as X-rays. A USB or SCSI connection increases the scanning speed, but a parallel port connection reduces the scanning speed. You can now use the scanner with NextGen® Document Management. Configuring NextGen® Document Management Security

For NextGen® Document Management usage, you can configure the following for security controls: You can restrict users based on the document type. You can use network impersonation to restrict network access to image and document files. Network impersonation is a security process that controls user access to the image and document files stored in the Network Share Location folder. In NextGen® Document Management, you can use the username and password configured in enterprise preferences when you manipulate files in Windows® . You can set up operation rights to NextGen® Document Management imaging and report functions for user groups in System Administrator. You can manage access rights related to the scan templates for the security groups in System Administrator. Note: You must have the Modify permission to access the NextGen® Document Management images. Assign Barcodes to Document Types

You can assign specific barcodes to different document types. When you scan a document with a barcode, NextGen® Document Management automatically assigns a document type to the image according to the cross-reference configuration that is set up in the Document Types master file. NextGen® Document Management can also file the document to the correct patient if the document uses one of the patient barcodes supported for pre-printed barcodes. Note: The barcode that displays on the image does not require a separator sheet. The patient pre-printed barcodes require NGA prefix followed by the type of the barcodes and the actual value. You can map the existing barcodes to NextGen® Document Management document types. You can also print the patient barcodes on labels and add them on the documents.
