Add Existing Users to a Single Group

You can add existing users to another group in any practice. Use the following steps when there is only one group that you want to add users to. For example, you might want to add existing users to a newly created group. Note: If a user is assigned to more than one group, the user inherits the rights and permissions of all of the groups to which he or she is assigned. Select the group that you want to add an existing user to. Right-click the group, then select Add Existing User. The Select User window appears. An icon appears next to the users that are already members of the group. Select the user you want to add. Note: To search for a user, do the following in the order listed: First, select Find. On the Find window, select whether you want to search by last name, first name, or user ID. Enter the search criteria in the text box. The search results display in the User and Practice list. In the list, select the user you want to add, then select OK to return to the Select User window. S

The Directory is structured with enterprises, practices, groups, and users in the following way: When you start a NextGen® Enterprise application, you are provided with one default enterprise, practice, group, and user. Adding additional enterprises and practices to the directory allows you to manage multiple practices and provide more secure access to patient data. Each user must be assigned to a group, which in turn must be assigned to a practice, and each practice is assigned to an enterprise. Assign a User to Groups within Any Enterprise

After you create a user in one group, you can add that same user to additional groups in any practice within any enterprise that you have the security rights to access. Note: If a user is assigned to more than one group, the user inherits the rights and permissions of all of the groups to which he or she is assigned. Select the user that you want to assign the groups to. Right-click the user, then select User/Group Assignment. The Find Groups window displays all the groups that you have the permissions to access. The check box is selected for each group that the user is already a member of. To change the number of groups in the list, select one of the following: To see the complete list, select All. To see only the groups assigned to the user, select Assigned to User. This option is helpful if you want to remove the user from multiple groups at once. Add Existing Groups to a Practice

You can add existing groups from one practice to another. When you add existing groups to a practice, the group security rights are copied over but none of the users originally assigned to the groups are copied over. This method of adding groups is useful when you need to add a lot of groups to a new practice. Select a practice to add the existing groups. Right-click the practice, then select Add Existing Groups. The Select Group window appears. Expand the appropriate practice, and then select the check boxes of the groups you want to add to the practice. Note: If you want to select all groups in a practice, select the check box for the practice. Select Add. A message asks if you are sure you want to add the selected groups. Select Yes to add the existing group to the selected Practice. Select Exit to save the group to the practice. Add users to the groups by either creating new users or adding existing ones. Remove the last user from a practice

When a user is being removed from a practice they must first be removed from all user workgroups for which they belong in the practice. This must happen when the following exists: The user is not the only member of any workgroup in the practice. The user is the only member of one or more workgroups in the practice. The user is the only member of any workgroup in the practice To verify the user is the only member in the workgroup, do one of the following: If you... Then... Select the group In the Members/Non-Members list on the General tab, verify that the user is the only name checked in the group. Select the user In the Members box on the General tab, verify the user is the only name check in the group. Check only one user for the workgroup if there are other members assigned to the workgroup. Share Inclusion Lists

You can make a user's Inclusion List available to other users by sharing the list. You cannot share Exclusion Lists. Do one of the following: Select a practice, and then select a user from Users with Include List. Select a user who has an Inclusion List set up. Note: The user must have an Inclusion List to participate in sharing. Do one of the following: If you selected a practice, select Share. If you selected a user, select Share under Inclusion/Exclusion List on the General tab. The Share Inclusion List window appears. Select Add. The Select Users window appears. Select users, Security Groups, or Workgroups to share the Inclusion/Exclusion List. In the Users list: Select the users to add. Select the Security Groups or Workgroups option, then select a group. Select the Add button. The selected names appear in the Selected Users list. Note: To remove names from sharing, select the names in the Selected Users list, and then select Remove.
