Match Vendors to Refunds

Users with the Refund Vendor Matching security right can match vendors in an external system to payment refunds in the Payment Entry window. Note: You can match vendors on unprocessed transactions only. The Refund Vendor Matching security right is turned off by default. Open NextGen® Enterprise PM. From the main toolbar, select Posting. The Batch Posting window opens. Right-click the selected batch, and then select Open. The Payment Entry window opens. In Adj Code, select a refund code with a patient source. Do one of the following: Select the Guarantor checkbox. NextGen® Enterprise PM inserts the guarantor's name and address information. Select the Patient checkbox. NextGen® Enterprise PM inserts the patient's name and address information. For non-third party person, select the Other checkbox. The name and address fields remain blank and you can manually enter the data. For third-party person, select a refund code with the third party source type. In the Refund section of the Payment

Reversing Payments, Adjustments, and Refunds

Before you can reverse payments, adjustments, or refunds, you must have the following rights assigned in System Administrator: Reverse Adjustment to enable users to reverse adjustments from the Transactions tab on the patient's chart. Reverse Auto Adjustments - Batch to enable users to reverse automatic adjustments by using the Reverse Automatic Adjustments process in NextGen® Enterprise PM. You can access the Reverse Automatic Adjustments window by selecting File > Processes > Reverse Auto Adjustments. Reverse Auto Adjustments - Encounter to enable users to reverse automatic adjustments by right-clicking an encounter on the patient's chart and selecting Reverse Auto Adjustment. Reverse Payment to enable users to reverse payments from the Transactions tab in the patient's chart. Reverse Refund enable users to reverse refunds from the Transactions tab in the patient's chart. Refund Vendor Matching Security Right Setup

Security rights in System Administrator control user access to refund vendor matching and refund transactions in NextGen® Enterprise PM. By default, user groups do not have access to vendor matching. In System Administrator, select a user group. Note: You may create a user group specifically for vendor matching purposes. On the Rights tab, expand OPERATIONSTransactions. Select Vendor Matching and set the Access Rights to Yes. Within a pending refund transaction in the Payment Entry window in NextGen® Enterprise PM, users will have access to the Vendor Matching Lookup button, Refund Name/Address section, and the View Chart button. To grant additional security rights to the user group, do the following: To allow user groups to enter new refunds or modify fields, other than those in the Refund Name/Address section, select Rights > MODULES > Transactions > Transaction Adjustments/Refunds and select the Add and Update Access Rights. Set Up Vendor Labels for Enterprises

Vendor labels are displayed in NextGen® Enterprise PM in the Refund section of the Payment Entry window and in the Vendor Matching Lookup window. You do not need to create these labels if you do not use a third-party refund system. Note: For successful matching of the labels, you must have appropriate tables set up in the database. You can contact NextGen Healthcare Support for assistance. To open the Enterprise Preferences window, do one of the following: From NextGen® Enterprise PM, select Admin > > Preferences > Enterprise. From File Maintenance, select Master Files > System > Enterprises, and from the list, choose an enterprise and then select Preferences. From Preference List, select Vendor Labels tab. Under Vendor Matching Labels, enter a label for each user-defined field. Select OK. Set Up Rights to Match Refund Vendors You can set up security rights for users to view, add, or delete refunds from vendors in System Administrator.
