Set Up General and Communication Feature Settings
Administrators can set the account time zone and the earliest and latest hours to communicate with patients to ensure that patients are not disturbed by messages at inappropriate times. Administrators can also set the duration of user inactivity before the session automatically logs off and the number of days a message link remains active after being sent to patients. Additionally, administrators can turn off specific message channels for the account, such as SMS, voice, email, and chat, to customize the practice preferences for staff notifications. Configure the Pre-visit Checklist for Patients
As a practice administrator, you can configure specific pre-visit checklists for existing and new patients. Before you begin You must configure the patient demographic, standard consent, insurance, and payment forms with the necessary fields. Open your Luma Dashboard. Select the patient profile "" icon, and then select Mission Control > Utilities > Checklist Builder.The list of existing checklists appears. Select Add Checklist, and enter a name for the checklist. Under Checklist Items, in Checklist Item 1, do the following: Search for and select the configured patient information form, and then select the Pt. Demographics category. Under Your Demographic Information, do the following: Select Add checklist item, and then in Checklist Item 2, search for and select the configured standard consent and policy form. Create and Update Text Messages and Templates
Administrators can create common and frequently used messages and save them to the message library. They can also update the following types of templates in SMS, voice, and email formats to ensure that patients receive similar messages every time: Appointment templates Feedback templates Offer templates Referral templates Waitlist templates Other templates Note: For more information, visit Luma Help Center. Personalize Communication for Patients and Practice Staff
Administrators can configure a custom message to automatically send messages and notifications to patients and staff when an appointment is created or updated. Administrators can also configure notifications for patients about upcoming regular and follow-up appointments, past procedures, and diagnoses newly added to their profiles. Open your Luma Dashboard. Select the patient profile icon, and then select Mission Control > Utilities > Custom Actions. The list of existing custom messages appear. To add a customized message, select Add new action, and then select Appointment. You can also select Recall, Procedure, Diagnostic, or Extra Reminder to configure the relevant actions. In the New Appointment Action window, enter the title, and then select theActive checkbox to activate the action. In Action, select Message a Patient or Notify the Staff, and then enter your message. Create and Update User Groups
To obtain access to patient data in NextGen® Patient Self-Scheduling powered by Luma, each user must assigned to a security group associated with the necessary features. Open your Luma Dashboard. Select the patient profile icon, and then select Mission Control > Security Center > Groups. Select Create a new group. In the Create new group window, do the following: In Title, enter the group name. Select the All Facilities checkbox or select the necessary features in Details, and then select Create group. To edit an existing group, select the necessary group menu icon, update the necessary details, and then select Save. Optional: To delete a group, do the following: Select the corresponding group Users, select all users, select the menu icon, and then select Remove from group. Select Security Center > Groups. Select the corresponding group menu icon, select Delete group, and then select Yes, delete group.

Communicate with Your Patients and Practice Staff
You can use internal notes to communicate with your practice staff and patient care teams to keep patient-specific discussions, staff notes, and message history within the patient chat. Note: Internal notes are available only for providers and practice staff. Open your Luma Dashboard. Select My Chats, or select Communication > Hub. My Chats opens on the Collaboration Hub page. To send a message to a patient, search for and select the patient chat, and clear the Internal message checkbox. Enter your message or insert existing text from Message Library, and then select Send Message, SMS, or Email. You can add the necessary variable inside the brackets from the Insert Squiggly list, lock the message to secure patient health information (PHI) details, and attach a file. For example, if you select the {{patient.firstname}} variable, the application automatically fills in each recipient's first name from the information on their profile.
