Join Cases When a Patient’s Insurer Changes

Before you begin

You need to know the original case number before you can join it to a new case.
When a patient’s insurer changes during an episode of care (due to either a change of insurer or the addition of another insurer), you must create a new case that has the new insurer attached. Then, you can transfer data from the original case to the new one by joining the cases. After the data is transferred, the therapist can continue to treat the patient without re-entering the patient’s data.
  1. Create a case and attach the new insurer.
  2. Create the first encounter in the new case, and then open the NTS Homepage for the first time.
  3. Select Join Case.
    The Combine Cases window opens.
  4. In the Existing Case section, select NBR to display the list of open cases for the patient.
  5. Select the original case number from the list, and then select OK.
    The original case Description and Onset date appear in the fields in the Existing Case section.
  6. Select Join.
    Both the original and current cases appear in the Joined Cases grid.
  7. Select Close.
    The SOC Visits value updates with the total of the start of care count carried over from the original case plus the first encounter from the new case. The count in SOC Visits continues to increment with each encounter added to the joined case.
The joined case includes the goals, diagnosis, and treatment information from the original case. If you want to include additional information from the encounters in the original case, you can copy that information by using Get Data on the exam and the NTS Treatment templates.
