Messages Initiated by Your Practice

Messages initiated by the practice are the messages that you or your co-workers send to patients or other practice users. If you do not configure the Do Not Reply option, patient or the practice user can respond to the messages sent by you or your co-workers. If an online profile is used while sending a message, all users in the online profile receive the responses to the message. When you or your co-workers initiate a message, the Category column displays Practice Initiated in the Outbox grid view. For messages that are sent as replies to practice initiated messages, the Category column is blank. An online profile works similar to an email distribution list. Patients cannot initiate a message to an online profile. They can only respond to the messages sent from an online profile. Compose and Send Messages

Before you begin Ensure that the Patient Messaging online solution is active in Site Generator so that messages sent from NextGen® Enterprise applications can reach the patient's NextGen® PxP Portal mailbox. When you or your co-workers initiate a message, the Category column displays Practice Initiated in the Outbox grid view. For messages that are sent as replies to practice initiated messages, the Category column is blank. Remember to set the Do Not Reply option if you do not want the recipients to be able to respond. On the NextGen® Enterprise PM main toolbar, select the Mailbox button. From the list in the upper-right corner of the window, select Patient Portal. Important: The Patient Portal option does not appear in the list if your NextGen® PxP Portal license is not available or has expired. A list of patient portal folders appears in the left pane. Common Tasks for NextGen® PxP Portal Messages

The following features are common across all types of messages: Forward messages or requests. Create tasks for messages or requests Manage messages of restricted patients Forward Messages and Requests You can forward every type of communication available in NextGen® PxP Portal Assign Tasks There are several ways to assign a task to a NextGen® PxP Portal message or request. Manage Your Responses You can use any of the different reply functions on messages that patients send through NextGen® PxP Portal. Manage Messages from Excluded Patients If a patient is included in your exclusion list in System Administrator, you cannot read or view any messages from that patient. Manually Refresh the Portal Inbox You can manually update (refresh) your mailbox to view the latest NextGen® PxP Portal messages. Archive Messages and Requests You can move NextGen® PxP Portal items to an archived folder, but cannot delete them from the system. Parent topic: Managing Communication Messages

Messages Initiated by Patients

From the Messages page, patients can Ask a Question to initiate a new message to your practice. Note: The Ask a Question button and the labels on the What's your message about? window are customizable and can be different. When a patient sends a message from NextGen® PxP Portal, all users in the routing policy receive that message. The mailbox Category and To columns display the selections made by the patient while creating the message. Since a routing policy can contain multiple users, before you can act on a message initiated by a patient, you must accept the message to take responsibility for completing the communication. Managing Communication Messages

The Communications category in the NextGen® PxP Portal Mailbox allows you to manage messages exchanged between you and the patient. To see all communication sent and received through the NextGen® PxP Portal in one view for the selected patient, you can select the Patient-Specific View toggle. The count of unread or unsent messages in the Communications and Appointments folders refreshes every time you switch between full view and patient-specific view. You can use the Display list to filter and review specific timeline messages. By default, the last three months messages are displayed. You can do the following: Collaborate Messages Received by Distribution Lists. Accept Messages. Release Messages. Release Messages Accepted by Other Users. Reply to Messages You Accepted. Reassign Messages to Other Routing Policies. Compose and Send Messages. View Failed Messages Forward Messages. Create Tasks. View Portal Communications You can access the messages sent by patients from NextGen Mailbox.
