Compose and Send Messages

Before you begin Ensure that the Patient Messaging online solution is active in Site Generator so that messages sent from NextGen® Enterprise applications can reach the patient's NextGen® PxP Portal mailbox. When you or your co-workers initiate a message, the Category column displays Practice Initiated in the Outbox grid view. For messages that are sent as replies to practice initiated messages, the Category column is blank. Remember to set the Do Not Reply option if you do not want the recipients to be able to respond. On the NextGen® Enterprise PM main toolbar, select the Mailbox button. From the list in the upper-right corner of the window, select Patient Portal. Important: The Patient Portal option does not appear in the list if your NextGen® PxP Portal license is not available or has expired. A list of patient portal folders appears in the left pane. A list of messages appears in the right pane. Enter the Subject of the message. In the message field, do one of the following: Enter

View Portal Communications

On the NextGen® Enterprise PM main toolbar, select Mailbox . The NextGen Mailbox window opens. From the list in the upper-right corner of the window, select Patient Portal. Important: The Patient Portal option does not appear in the list if your NextGen® PxP Portal license is not available or has expired. A list of patient portal folders appears in the left pane. A list of messages appears in the right pane. The Mailbox folders having unread messages appear in bold type along with the number of unread messages in parentheses. To view all the communication sent and received for the selected patient, select Patient-Specific View. Note: The count of unread or unsent messages in the Communications and Appointments folders refreshes every time you switch between full view and patient-specific view. To view specific timeline messages that are older than three months, select from the Display list. Note: The Display filter list is not available for the Drafts and Scheduled folders under Commun

Common Tasks for NextGen® PxP Portal Messages

The following features are common across all types of messages: Forward messages or requests. Create tasks for messages or requests Manage messages of restricted patients Forward Messages and Requests You can forward every type of communication available in NextGen® PxP Portal Assign Tasks There are several ways to assign a task to a NextGen® PxP Portal message or request. Manage Your Responses You can use any of the different reply functions on messages that patients send through NextGen® PxP Portal. Manage Messages from Excluded Patients If a patient is included in your exclusion list in System Administrator, you cannot read or view any messages from that patient. Manually Refresh the Portal Inbox You can manually update (refresh) your mailbox to view the latest NextGen® PxP Portal messages. Managing Attachments in Secure Communications

Secure communication messages with attachments appear in your mailbox with an attachment icon. The Attachments column can be grouped so that all messages with attachments display at the top of the list. You can also drag and change the position of the columns in your mailbox. When you open a message with attachments, the Attachments tab displays the number of attachments in the message. Patients can send a maximum five attachments from NextGen® PxP Portal in the .jpeg, .jpg, .bmp, .pdf, .doc, .docx, .txt, .tif, and .tiff formats. The NextGen® PxP Portal supports attachments up to a two megabytes. Managing Communication Messages

The Communications category in the NextGen® PxP Portal Mailbox allows you to manage messages exchanged between you and the patient. To see all communication sent and received through the NextGen® PxP Portal in one view for the selected patient, you can select the Patient-Specific View toggle. The count of unread or unsent messages in the Communications and Appointments folders refreshes every time you switch between full view and patient-specific view. You can use the Display list to filter and review specific timeline messages. By default, the last three months messages are displayed. You can do the following: Collaborate Messages Received by Distribution Lists. Accept Messages. Release Messages. Release Messages Accepted by Other Users. Reply to Messages You Accepted. Reassign Messages to Other Routing Policies. Compose and Send Messages. View Failed Messages Forward Messages. Create Tasks. View Portal Communications You can access the messages sent by patients from NextGen Mailbox.

Attaching Documents to Messages

You can attach the following types of documents to your messages: Document from a patient's chart Interactive Medical Forms Note: To attach a document such as a Microsoft® Word®, Adobe® Acrobat®, image, text, or HTML file from your computer, on the Attachments tab, you can select and then select a file. The patient receives a notification for a message with multiple attachments after all the attachments are processed. The message displays the status of each attachment. If an attachment fails to process, its status appears as failed. If an attachment is being processed, its status appears as in process. Attach a Document You can send independent documents as attachments in a NextGen® PxP Portal message.
