The note field is saved as a Globally Unique Identifier (GUID) file only if the contents of the field have been changed and the Disable Saving Blank Notes Universal Preference is set to True in System Administrator. In a trigger condition or value calculation, to check if a note field is empty, use the ISEMPTY string function. The maximum data size for a template is 7940 characters. The total data size is the sum of the length of all data entry fields. A message box appears when you try to add or modify fields and you have reached the maximum data size.
- Drag the Note Icon from the Fields toolbar to the template design area where you want to place it.
The
Insert Note window opens.
Note: You may need to enlarge your template to make room for the note field. The Make Public check box appears on this window only when the note field is on a sub template.
- Define the table.
- If the template is saved, the Table text box automatically displays the template name.
- If the template is not saved and no table is associated with it in the database yet, leave the table blank to create fields that are native to the table associated with this template when it is saved.
- If you are planning to share the note field with another template, select that template from the list.
- Enter the name of the note field.
- If you are creating a new note field, enter the name in the Name text box using up to 30 alphanumeric characters. Do not begin the name with a number or underscore or include any spaces; use an underscore to indicate a space.
- To share a note field from another template, first select that template from the Table list. Then from the Field list, select the field you want to use from that template.
- Do the following:
- To reposition the field on the template, enter the appropriate numeric values to replace the current vertical and horizontal coordinates displayed in the Position boxes.
- To resize the field, enter the appropriate numeric values to replace the current dimensions displayed in the Size boxes.
- From the Style list, select:
- Normal (default). Data can be entered.
- Read-Only. Data can only be read, not entered.
- From the Save As list, select the output file format:
- Rich Edit (default) for Rich Text Format (RTF)
- Plain Text (TXT)
Note: When a note is stored in RTF, the text formatting (font, size, color, style) is also stored in RTF. When text is added to a document, the formatting is retained.
When a note is stored as plain text, no formatting is stored. When the text is added to a document, it takes on the formatting of the other text surrounding the place where it is inserted.
- From the Align list, select Left, Center, or Right alignment.
- To hide the note field when the template is opened, select the Hidden check box.
- If a note field is on a sub template, to make it available as a parameter to the template that the sub template is placed on, select the Make Public check box.
- If necessary, to permit editing of the note field at run time using Microsoft Word® only, select the Exclusive Word Editing check box.
- If the Style is Text, select Enable Spell Check.
In runtime, this allows you to check the spellings in the text fields.
- If applicable, select the Audio Recording type option.
- If audio recording does not apply, select None.
- If you are using the NextGen® Enterprise EHR Audio Recorder, select PC Microphone (default).
- If you are using a personal tape recording device, select Tape Device.
- If you are using a Dictaphone or other dictation device, select Digital Interface.
- If necessary, enter any Default Contents.
- To display the Assign Field Value window, select the Calculate button.
- In the Value Calculation window, set up a formula to calculate the required value, and then select OK to close the window and display the calculation in the Default Contents window.
- In the Comment text box, enter any required comments for the field.
- If necessary, to set up properties for the font name, size, and style and the text and background colors for the Note field, select the Font and Color tab.
- Select OK and save your template.
