Viewing Closed Loop Referral Requests

Column Heading	Description
Create Date	The date that the referral request was first initiated, not the date of the most recent action for that request.
Next Step	Buttons for any available actions. Different buttons are listed, depending on the current status of the referral request and the directionality.
Latest Status	For an active request: Initiated, Canceled, Accepted, Declined, or InterimCommunicated. For a completed request: CancelConfirmed, Denied, or Finalized.
Directionality	Outbound if the currently selected provider is the initiator of the original request or Inbound if the currently selected provider is the recipient of the original request.
Initiator and Responder	The email addresses of the providers who initiated or received the referral request.
Reason	The referral reason specified by the request initiator.

Managing Inbound Closed Loop Referrals

On the Closed Loop Referrals tab, the Directionality value is Inbound if the current provider is the referral recipient. The Next Steps column displays buttons for each available action. Different subsets of these actions are available depending on the current status of the referral request. Actions for Inbound Requests Accept and Decline are available for a newly initiated referral. Note: Before accepting a referral, you should select the link in the Create Date column and read the Referral Timeframe on the resulting window. Typically, you should not accept a referral if the receiving provider will not be available within the requested timeframe. Confirm Cancel is available only for referrals that are canceled by the initiator. This action changes the referral status to CancelConfirmed, which means that no further actions are needed from the initiator or recipient. Managing Outbound Closed Loop Referrals

When you initiate a referral in the Data Share module, it is sent as either a simple referral or a closed loop referral, depending on the capabilities of the receiving system. For a closed loop referral, you can use the Closed Loop Referrals tab to view or cancel the referral. You can also use the Export tab to send updated information or to send the referral to a different provider. Cancel Closed Loop Referral Requests You can cancel a closed loop referral if you decide that it is no longer needed. Change the Receiving Provider for a Closed Loop Referral While a closed loop referral request is in progress, you can create a new referral request to send the same referral order to a different receiving provider. Send Updated Information for a Closed Loop Referral While a closed loop referral request is in progress, you can create a new referral request to send updated clinical data to the receiving provider. Viewing Closed Loop Referral Requests

In the Data Share module, on the Closed Loop Referrals tab, the Patient's Referrals list displays inbound and outbound referrals for the currently loaded patient. Only 360x-compliant (closed loop) referrals are shown. Initially, the list includes only referrals to or from the current provider (the provider selected in the Top Toolbar). However, you can change the settings in Advanced Parameters to include referrals to or from all providers. Check for Outdated Closed Loop Referrals

When a referral is first initiated, the initiator can specify a desired time frame. Later, you can check for referrals that have not been completed within the desired time frame. On the Closed Loop Referrals tab, select the Advanced Parameters check box. In the Advanced Parameters panel, set Status Filtering to Active and Date Filtering to the current date. Customize the Patient's Referral List

You can control the contents of the Patient's Referrals list, including viewing, filtering, and sorting. To filter the referral requests, which initially include all requests initiated or received by the currently selected provider for the currently loaded patient, do the following: On the Data Share module, select Advanced Parameters. Advanced Parameters Check Box Select options for filtering by provider, directionality (inbound or outbound), status, or due date. Select Apply Filter. To view referrals to or from a different destination, select from the Destination list. To sort the entries, select a column header. Multiple Entries for the Same Referral

If a provider refers a patient to another provider in the same practice and if you have set Advanced Parameters > Provider Filtering to All, then you can see two different entries for the referral. Referrals within the Same Practice You can see that two entries are for the same referral if they have the same values for Latest Status, Initiator, Provider, and Reason. Additionally, the Create Date values are similar, differing only by a few seconds. To make it more obvious which entries are for the same referral, you can sort by Create Date or Reason. Additionally, the two entries have the same referral ID. You can view the referral ID for an entry by clicking the link in the Create Date column.
