Cancelling Future Appointments for Expired Patients

When expiring a patient, you can stop active recalls and/or cancel future appointments. Depending on how your practice is setup you may be required to enter a reason for stopping a recall and/or cancelling future appointments. Refer to the following sections for instructions for stopping active recalls and cancelling future appointments. Stop Active Recall Setup for Expired Patients

When stopping active recalls for expired patients, you have the option of tracking the reason the recall was stopped based on your practice preference settings. To track the reason the recall was manually stopped, do the following: Add Recall Stop Reasons in File Maintenance Enable Tracking of Recall Plan Stop Reasons in Practice Preferences Add Recall Stop Reasons in File Maintenance You can add reasons to stop recalls for expired patients. Enable Tracking of Appointment Cancellation Reasons in Practice Preferences

Select Admin > Practice > Preferences. The Practice Preferences window opens. Select Appt Scheduling and then select the check box Track for cancellation reason. The reason for canceling a future appointment is tracked in the system. You must enter a reason for why the appointment is canceled. Select OK. Future appointments and active recalls can be cancelled when an expired date (date of death) is entered on the Demographics tab of the Modify Patient/Person Information window. When a Patient/Person is marked as expired, you are prompted to stop active recalls and future appointments from the Demographics tab of the Modify Patient/Person Information window regardless of security permissions in the following applications: NextGen® Enterprise PM - from the Demographics tab of the Modify Patient/Person Information window and the Patient's Chart. NextGen® Enterprise EHR - from the Demographics tab of the Modify Patient/Person Information window. NextGen® Optical Management - from the Demographics tab of the Modify Patient/Person Information window. NextGen® Adaptive Content Engine - When the Modify Patient/Person Information window is opened from a template. Add Appointment Cancellation Reasons in File Maintenance

Open File Maintenance and select Master Lists. On the Master Lists List window, select Appointment Cancellation Reasons. Select Open Menu and select New. The Add Cancellation Reason Information window opens. In the Description field, enter the reason for appointment cancellation, for example, Expired Patient. Select OK.
