Electronic Signatures on Patient Documents

Using electronic signatures enables you to verify the integrity of a patient document. NextGen® Enterprise EHR provides two types of electronic signatures on patient documents: An electronic signature can be captured for the user, provider, patient, or other entity and then inserted into a printed patient document manually. This feature works with both HighEdit and TX Text documents in either the HighEdit or TX Text viewer. The provider signature is automatically added to patient documents approved in the PAQ. Using Provider Approval Queue for Sign-off

When you file a document or patient encounter specifically to a rendering provider, the document appears in the PAQ for the provider in NextGen® Enterprise EHR. All documents require a signature in the NextGen® Enterprise EHR PAQ. Requiring a signature is a setting for the document type assigned to the image. The encounter number appears in the PAQ for the rendering provider. When a document with annotations is saved and posted in NextGen® Document Management, the annotations are not retained when the document appears in the NextGen® Enterprise EHR PAQ. Note: A filed document appears in the PAQ if the Signature Required option is selected and if it includes the Rendering Provider field on the Document Type, even if the document does not have the Encounter Nbr field for you to enter the encounter number. Signoff Patient Document

In NextGen® Enterprise EHR you can sign off (accept) each patient document. If the Provider Approval Queue (PAQ) is enabled, you can sign off the document either in the PAQ or directly in the Documents module. When a document is accepted in one location, it is automatically listed as accepted in the other location. If the PAQ is not enabled, you can only sign off the documents in the Documents module. Sign off or Reject a Multi-user Document from PAQ

Do one of the following: Log on to NextGen® Enterprise EHR as a Provider Approval Queue (PAQ)-enabled provider. If you are a provider's delegate, log on with your own credentials, and select the PAQ-enabled provider you are the delegate for in the provider list at the top of the NextGen® Enterprise EHR main window. Open the PAQ Pending tab in NextGen® Enterprise EHR. The most recent item added to the PAQ is selected by default and appears in the viewing pane on the right. If the default item is not the document for signoff, locate the document, and select to open it. You can view the electronic signatures at the bottom of the document. Note: If the encounter provider has not signed off a document that has been rejected by another signee, Sign-off and Sign-off with Actions are disabled, and you cannot sign off the document. PAQ Document Signoff by Multiple Providers

Multiple providers on a patient care team can sign off the same document sent by the encounter provider to each designated signee's Provider Approval Queue (PAQ) Pending PAQ tab in the Workflow module. Only the encounter provider or the provider's delegate can initiate multi-user signoff and select additional signees. The multi-user signoff document is read only and remains in Pending status until all the designated signees or their delegates have signed it. If a document is rejected or regenerated by any signee, all existing signatures are erased, and the document is returned to the Pending PAQ of the encounter provider for review and further action. The encounter provider can restart multi-user signoff for the document and select the previous or new signees. Note: At this time, multi-user signoff is only available for PAQ documents. Assign NextGen® Enterprise EHR Task for a PAQ Item

You can assign an NextGen® Enterprise EHR Task for a PAQ Item. Open the Workflow module. Select the Provider Approval Queue tab. In the Pending tab, select an item from the list. A preview of the item is displayed in the viewing pane. Select + To Do in the toolbar. The New EHR Task window opens. To change the Due Date from today, select the calendar icon, and then select a different date. From the Priority list, select High, Normal (default) , or Low. To add recipients to the task, select Add available next to Assign To. The Select Task Recipients window opens. If you do not select a recipient for the task you are creating, the task assigned to you. To change the Subject from the name of the item type, enter the text in the subject field. You can enter up to 30 characters. To associate a patient with the task, select Add next to Re: Patient to display the Patient Lookup window. Select the patient in the Re: Patient.
