Prerequisites to Associate a Program to an Encounter

You can associate a program to an encounter in NextGen® Enterprise EHR when creating an encounter. After you associate a program to an encounter, the status in NextGen Enterprise PM > Patient’s Chart > Encounters > Encounter Information appears as In Progress, which allows NextGen Enterprise PM users to calculate revenues. To view the list of programs to associate when creating an encounter, you must first create the list of programs and ensure the following in File Maintenance: Create at least one program in File Maintenance > System > Programs master file. Select Enable Programs from File Maintenance > Master Files > System > Practices > Preferences > Programs. Select Default all new encounters to are in progress from File Maintenance > Master Files > System > Practices > Preferences > Encounters and select at least one program from the Limit to Valid Programs list. Working with Programs in NextGen® Enterprise PM

When Programs are enabled for a practice, you can utilize the following functionality in NextGen® Enterprise PM: Enroll a patient in a program in the Patient Chart from Programs sub-tab under Patient Information tab . Link a patient's encounter to a program from the Create Encounter or General tab on the Encounter Maintenance window. Display a warning message when an encounter does not meet program-specific requirements. Default new encounters to In Progress status when they are created and linked to a specific program. View the program linked to a patient's encounter in the Patient Chart from the General sub-tab under the Encounters tab . Display warning messages on the Charge Posting window when a charge does not meet program-specific requirements. Generate a Daily Encounters, Billed Encounters or Unbilled Encounters report to review and monitor encounters that are linked to programs. Associate a Case with an Encounter in NextGen® Enterprise EHR

You can associate a case with an existing Encounter in NextGen® Enterprise EHR. Open NextGen® Enterprise EHR, and select a patient from Patient Lookup window. On the Encounter History tab, select an encounter. Select Encounter Options, and then select Properties. The Encounter Maintenance window opens. Select open menu , and then select Open Existing Cases. The Select Case window opens. Select a Case to associate the selected Encounter with or select New to create a new case to be associated with the selected Encounter. The Case Information window opens. Select Yes. Select OK. View the Program Linked to an Encounter

You can view the program linked to an encounter from the Patient Chart. From Patient Chart, select the Encounters tab, and then select the General sub-tab. In the Encounters list, select an encounter. In the Encounter Information section, the Program field displays the name of the program linked to the encounter. Note: The Program field appears only if you select the Enable Programs check box on the Programs preference in the Practice Preferences window. When the program access right for a user is set to No in System Administrator > Rights > Operations > Chart/Demographics/Employer > Program, the user cannot see any data in the Program field. Associate a Case with an Encounter in NextGen® Enterprise PM

You can associate a case with an existing Encounter in NextGen® Enterprise PM Access a Patient's Chart. Select Encounters. Select open menu . The Encounter Maintenance window opens. Select open menu , and then select Open Existing Cases. The Select Case window opens. Select a case to associate the selected encounter with or select New to create a new case to be associated with the selected encounter. The Case Information window opens. Program Configuration

You can also configure the following program-related options to help your clinical process: Set program-specific Packet Navigation. Set default values for Specialty and Visit Type by program. Display the Specialty and Visit Type fields on templates by program. Make payer details as required during the client's program enrollment. Set program-specific Goals and Objectives in the patient's ISP. When a new encounter is created, the Select a Program window displays all programs the client is enrolled in. The program list displays only the current enrollment of clients on the date of the selected encounter. If a program is not available in the picklist, you must add a program for the client or ensure the existing program's open and close dates coincide with the selected encounter date. After selecting a program, the encounter is automatically updated based on your practice and program configurations.
