Set Up Document Types

Before you begin Set up the document fields. Document types can act as classifications that refer to the nature of documents or images, such as X-ray, medical record, and progress note. Open File Maintenance. In Master Files, select System > Document Types.The Document Types List window opens. Select the open menu `button, and then select New.The Document Type Information window opens. Enter the necessary details, and then select Open folder button.The Field Search window opens. Set Up Document Fields

Document fields provide keys that you can use to file and retrieve documents and images in NextGen® Document Management. You can create the following field types: System fields, or key fields, that locate specific person information in the database. For example, when you specify a person number, the other system field data such as last name and first name are retrieved automatically. The key fields are: encounter number, person number, and MRN. User defined fields that are not linked to any person demographic values. You can enter any value you want for a user-defined field. Open File Maintenance. In Master Files, select System, and then select Document Fields. The Document Fields List window opens. Select the open menu button, and then select New. The Document Field window opens. In Description, enter the field name you want to create. To designate the field type, select either the System or User-Defined option. Organizing Documents and Images

Before you start adding documents and images to your repository, you should set up an organization structure to classify each document. By using this structure, you can easily locate documents and images in NextGen® Document Management. You must create your organization structure in the following order in NextGen® Document Management: Fields which are information areas that are used to file and retrieve a document in NextGen® Document Management. Examples of fields are patient and physician name. Document types that refer to the nature of documents or images, such as X-ray, medical record, and progress note. Set Up Document Types

Document types provide a specific classification for documents and images. Since you must assign document fields to document types, you should create your document fields before you create the document types. For information on setting up document fields, go to NextGen Healthcare Success Community and download the latest User guide for NextGen Document Manangement and see Set Up Document Fields. Note: NextGen Healthcare recommends that each document type has one Person Number key field associated with it to serve as a unique identifier. Therefore, to associate a person number to each document type, in the Document Type Information window at File Maintenance, select the Potential Order Result check box and mark the Person Nbr field as Required. In File Maintenance > Master Files, select System or PM or Document Management, and then select Document Types. The Document Types List window opens. Patient Status and Location Document Type Fields

In NextGen® Document Management, the list of document fields include: Patient Status (System defined) Location (User defined) In the Filing Process window, both Patient Status and Location are optional fields and are available in the document filing process. If the Provider Approval Queue (PAQ) is the selected document type and has Patient Status, Location, and Provider fields, then: The system retrieves Location based on the Practice selection. The system retrieves PAQ Provider based on the Location selection. The system retrieves Patient Status based on the Person selection.
